Jobs for each question or service

Hi allIncluded within our services is a support option for clients to ask quick questions. I am trying to decide whether it is better practice to create a single ‘Support’ job for each client where all emails and time get allocated for the year or whether it’s better to have a separate job created for each email all allocated to the Support service type. Option 1 pros: has a single budget we can track progress against, all queries can be seen under a single job.Option 2 pros: better tracking of each question via the job, can allocate a budget for each query to keep staff on track. My main concern with option 1 is not having sufficient tracking on each query but I suppose this could be resolved via email insignts. Main concern with option 2 is not being able to properly track the time against the budget for the year. E.g. if we charge a client $1,500/year I want to know how we’re going against that. Any feedback welcome. CheersMatt

client is requesting to have checklist mailed to physical address and not emailed is there a template for this or do i simply mail only the checklist in an envelope?

Client Request New Issue

Greetings, before I contact support I would like to know if anyone else has had this issue pop up recently.Sent client request and the timeline shows the email being sent to the client, Client contacts me and indicates the link does not work and cannot reset so I look at the client request task, Client Request task identified it as Not Sent and it is not marked completed, Timeline still shows it as sent with no further timelines actionsThen this morning, I scheduled a Client Request (Different Client) for delivery Today. I went and did some other work and went back to the client and noticed the Client Request now said Not Sent rather than Sending to Client Today. I had to go back into the Client Request and complete the send to today again, including the Reminders which now had reverted to the Default gentle rather than the Custom I have setup.

How to edit Client Group(s) for a Work item

There are two issues:How can I add more than one Client Group to a Work item? I can have multiple Client Groups at the Contact level, but not at the Work item level? Once a Work item has been created, how can I edit/change the Client Group? Again, I can edit/change the Client Group at the Contact level, but not at the Work item level?

Individual Contact as Organization?

Does anyone have individual clients set up as organizations? We have been operating fine with them as a contact until our recent integration with SuiteFiles. “Contacts” do not sync externally from Karbon, but Orgs do. Before we go through the whole list of our individual tax playing clients and make them into identical existing organizations, I would love to know if anyone has knowledge regarding this. Would a contact having the same name as an organization present any workflow issues? Otherwise for context our current setup is:Individual tax client = Contact - “Client - Individual Tax” Joint tax clients (individually, i.e. First, Last) = Contact - “Client” Joint tax clients (joint) = Org - “Client - Joint Tax” (both contacts from above linked to this org and work done at this level) Businesses - Org - “Client - Business entity type” Client Groups are created for anyone with more than one organization and we put all orgs and contacts under client group for visibility of work items, as

How can we add to multiple Timelines while DRAFTING an email

Wondering if anyone has figured out how we can add email to timelines BEFORE we send it? Waiting for the email to show up in our Sent items and having to go back and timeline it there, is very time consuming, inefficient and cumbersome. I understand that we can add the email to a ‘work item’ timeline, but that is not sufficient (as not all clients have work items at the time the email is sent). Can Karbon just add that ability at the front end of the email vs the backend (since part of what we need is already there)? Anyone figure out if this can be done yet?

Drag and Drop Contacts in Emails (To, Cc, Bcc fields)

Has anyone else noticed that the drag and drop functionality stopped working? I can no longer drag and drop contacts between the To, Cc & Bcc fields when sending emails in Karbon.

Hi,We are switching over to Karbon at present. I am just wondering how those using XPM for billing handle Karbon? Do you still set up a job in XPM? If so then there are two jobs on hand - one in Karbon and the other in XPM? How do you then bill the client? What is “Best Practice”?Still a bit confused here.Thanks

No receiving client checklist comments

Hi,Does anyone have issues with your firm not receiving client comments on Karbon checklist ? We have clients’ comments/info disappear and karbon did not update/notify us when client updated Karbon. Autoreminders would continue. We will only find out when client notify us or we send a follow up email. It is very random and frustrating for all parties. Is there something we can do ? Thank you.

Client having issues logging in

Hi Team, Can you please assist? Client is having issues when trying to access the portal. He’s tried through the client task request, and I tried setting him up with an account (username & password). Hi Nicole! Just tried it and once I logged in it took me to a blank page! I tried in chrome and i was getting a message saying the password and email werent valid even though its the one provided. I'm sorry for all the trouble!! Please let me know if theres anything I can do to help! Thank you!

Time zones

When I drag work from my week to my calendar, the time zone used appears to be EST. That’s great for me, however, in Outlook it shows as Coordinated Universal time. If I edit that task in Outlook, I have to aware of this or it will shows in an odd time slot. Anyway to assure the time is always EST?

dictate feature

All Microsoft products, word, and outlook specifically allow you to dictate an email or a document. In Karbon everything has to be typed. This is inefficient and time consuming and for me, I resist using Karbon because of this. Since Karbon somehow works with Outlook, I would like this feature added.

My contact list has grown endlessly and includes people I haven’t worked with in 2 years. Is there a way to see when the last time someone had Work associated with them so I could quickly run through and delete old/unused contacts?

How do you create work from a template WITHOUT having it assigned?

We are just getting Karbon started and I am looking for some guidance. I create work from pre-built templates in the Karbon library. Every template I create, assigns it to me. I skip the “assign tasks to colleague” to do it later, but it still assigns the full template and all repeating work to me. I looked up the roles and having it assigned to a role, but it won’t do it. Work- create work- use a template- assign to: AUTOMATICALLY puts my name in, even when I delete it. OR Template- create work- again my name will not stay removed.When I look in details, I can see the client is assigned to me, and then under work team, there is me and unassigned. There are 4 of us on the team and we all work on the clients... What steps am I missing? Thanks guys! Alyssa

Repeating work and assignees

We have work that is set up to repeat. The work has a consistent Client Owner and Manager, but the preparer role is someone different each time it comes around based on availability. When the work repeats the preparer tasks are automatically assigned to the preparer from the previous occurrence of the work. Is there a way to have the tasks set to no one? When the new work is created from the repeat, I would still like them to be for the “preparer” roll but not assigned to a specific employee.

Citrix - Sharefile

Thank you for reading my question, and hopefully, take it under advisement because it would be a tremendous asset to many, many, many people that I have talked to. My suggestion/question is, is there any way to connect the Karbon document management system to Citrix ShareFile? I don't use Dropbox or OneDrive. I want to join the documents I'm working with and Karden's work. I'm considering changing systems: I need a place to consolidate my records. Connecting to ShareFile would be a tremendous asset to our office. Thank you very much. Hopefully, a favorable response is in store.

Inactive client and removing tasks.

Is there a way once you’ve marked a client inactive that all of the tasks are removed? Or do you have to go one by one to delete the tasks?

Resending client tasks without deleting the whole workpeice

Is there a way to resend a client task list that has been compromised (opened by two devices) within a workpiece without deleting the whole thing and losing the work already completed?
