Misc. Client Uploads

Occasionally a client will receive a document they need to share with us and they do not have a work item/request open or the work item that is open is not related to the document. Is there a way that the client can upload the document into the portal securely on their own without an open work item/request?We have created an independent miscellaneous document request for this issue, but it seems that it is a poor work around and requires us to send the request after the client has notified us they need to share a document with us. The other issue is that they are unable to upload so they email it to us (even though they have been instructed to never do so) and it is not secure.

Access Work Item Documents via the API

Is there a way to access the Documents associated with a Work Item from the API? If not currently, is there a plan to develop this functionality? Also, could the API provide the ability to connect a Work Item to a DMS folder?I can submit a feature request for this if it is not already in the works.

Tax Season Scheduling To Control Data Inflow

We are looking to create an internal scheduling calendar for tax season - by preparer - where clients must tell us the week they plan to submit their data. The calendar will be subject to a capacity limit, no different than a medical office appointment.  Has anyone heard of or created such a mechanism?  This will help to alleviate the massive inflow of client data in March-April.

Assigning Staff Level to Work Items in Karbon

Would like to assign the Staff Level to Work Items in Karbon. By this, I do not mean adding a colleague to a client team but rather assigning Intern I or II, Staff, Manager, Supervisor as the role to the work item. Feel like this would be a more efficient way of handling how/what work items can be assigned/moved to what staff personnel as new hires come in. Has anyone successfully implemented this?

Integration with a true messaging portal

We currently use Liscio - we do not email with clients as it presents security issues, obviously.  The entire issue seems to be that a client must be allowed to initiate a private, detailed, important message to our team - 24/7.  Karbon does not provide this; constantly linking messages from Liscio to Karbon prove to be highly inefficient.Has anyone found a suitable workaround for any messaging issue, to allow clients to communicate in real time, so that it gets to our Triage efficiently?

Karbon type apps outside the accounting industry?

Our clients (most of them) love the Karbon task portal as it is so streamlined and effective. One client would like to use this for her digital marketing firm but obv cannot use Karbon as it is very much tailored to the accounting industry.   Does anyone know of any alternatives that are more general in nature that have client tasks, client portal, project management etc.?? Thanks!

Client Request Missing

While I await a response from Karbon support wondering if anyone has experienced this…I printed a Client Request Summary to add to my workpapers. In the printed summary there are comments and documents provided by the client which DO NOT APPEAR within the actual client request in Karbon. As in the comments and documents provided are not there.Hoping this is an easy solve and more importantly an isolated incident. However I have had clients swear they uploaded documents and I never found them. Wondering if this issue has happened before.The waiting right now on a support response is excruciating 😂

Managing Vacation in Karbon

Hi all! I am looking for advice for how to manage vacation coverage in Karbon when employees go on a longer vacation (say 1-2 weeks). I find it easy to assign out specific tasks that may need to be covered through the “work” reporting section.However, I find it impossible to get their triage items covered. This has in some cases led to long delays in work. Any advice is appreciated. Thanks!

Are you able to bulk export work detail records?

A member of our Tax Team needs to be able to export the work team list assigned to a tax work item.  In the details of the piece of work, we have defined a Tax Preparer, Tax Reviewer, and QC Control. Can these fields be exported to a .csv? These fields are independent of the Client Owner, Client Manager and Work Assignee since they are a role assigned by task.  Essentially, I’m asking if task related data can be bulk exported.

Downloading Client Files

Hi Everyone, Is there a way to download all of the files uploaded by a client all at once through client tasks? Downloading and saving each document indivdually has proven to be a very tedious and time consuming process.

Updating all created Karbon Work by updating template

If I create a template, then use it 30 or so times and have all of them as recurring work, but then realize that I want to update the template, can I do that without deleting everything and completely remaking all of the work?

Client Groups

I see in main screen of client information Client Group. How does this work?I have a client that has over 50 businesses and I would like to group them, so I only send him 1 email and not over 50.We have a work item for the BOI and want to send all client reminders of filing. I am trying to save us time and not over burden them with same email.

How to remove old time recording from prior period

We started to use Karbon time recording in 2023 in anticipation of billing that time on Karbon. We are still raising invoices on XPM, and now need to remove the WIP that has been billed on that system. What is the best way that it can be removed, while not affecting the performance of Karbon, and providing a true view of WIP, so we can set a date of moving billing from XPM to Karbon?

Custom report - Client information details

Hello,Is there a way we can create or display a list with all the company details? I would like to see all the clients and be able to customize a list of their sales tax frequency, year-end, HST number, etc.Is it possible to create this kind of report? The idea is to avoid using an Excel file to summarize the information provided by each contact. I would like to avoid entering client details individually to retrieve this information.Thanks in advance!

Anyone willing to share a Cognitoforms Subscription?

I’ve been using CognitoForms for client intake for tax purposes. It’s been great but my tax practice is small as we focus on accounting. Can’t justify the $100/mo I’m paying now that tax season is over. Does anyone have extra users on cognitoforms and we can share the cost? Also looking for help with tax services as I’m hoping to start outsourcing that side of my business anyway. Thanks!

Shared Triage Email

Hey Gang.This question has probably been answered before so please point me to the answer.New user so don’t know how best to ask but here goes.We have 4 users of karbon firstname@ etc etc for emailWe have a shared triage email; office@When triggering reminders, sending email to clients etc etc we’d like them all to be coming from office@ not firstname@Our client are only ever use to getting emails from office@ with the signature block changing per person.Hope this makes sense.
