Contacts Best Practices

I am looking at our contacts - People vs Organizations vs Client Groups - and would love to see what others are doing.For people - Are you creating a contact for each person on a tax return - both taxpayer and spouse? For client groups - are you creating a client group for each joint tax return? And then are you creating work for the taxpayer of the client group? For clients with personal and business returns are you 1) adding the person + organization to the client group? And then do you assign the tax return work to the person and organization or to the client group?

My Week ... Each Section (ie In Progress) Sort order

Is there a way to sort within a section. For example inside In Progress … sort alphabetically. There does not seem to be be any logical way that they have landed in there and there is not a sort option. Cheers,Mary-Clare

Doc Management System

Does anyone know how to turn off the “Manage client work files from a single source of truth. Connect a Document Management System” yellow band that keeps appearing in Karbon? We only need to be notified once, especially since our doc management system is not available.

Work Creation - Bulk Change Create Work

Is it possible to perform a bulk change to the Create Work field in repeating work items? For example, I have 400+ work items that will be triggered into creation on 10/15 as the create work is currently set to 6 months before work start date. I would like to bulk change this to 3 Months before work start date (ideally 4 or 5, however not a choice available).Or is this something that could only be done on the back-end by Karbon support?t/y

Recurring annual work - How to easily spot when offboarding a client?

Hi everyone, I’ve come across this a few times and was hoping someone might know a better way of doing this. When I off-board a client, I also set end date to all their active work - pretty easy.However, when I have an “annual” recurring work which has already been completed this year, I won’t see it in my “active work” list, so I need to dig through ALL work to figure out if I do have annual recurring work that I need to set end date to. How you dealt with this situation before and how did you do it? Many thanks for your help in advance!

Time & Billing and Fixed Fee

Does anyone use Time and Billing in Karbon and have mostly a fixed fee pricing structure? If you do, how to determine job profitability in Karbon, or do you?Our business is about 95% fixed fee. For us, having a billing rate in Karbon for each role is not useful in determining job profitability. Ideally, I would need to load into Karbon the loaded hourly rate for each employee (not just role). Currently we track our time and billing in Xero’s PracticeManagement and we can get job profitability out of that system. We would rather use Karbon for Time and Billing since the it would reducing switching cost between the two app during the day. I know that I could export the time data and dump it into a data analysis tool to determine job costing, but that requires a manual process and additional work that I don’t really want to do. Also, I would like to keep everything in Karbon if possible.

Sending one off emails

Looking for a solution to email clients for reasons not part of a workflow. i run into situations that i need to notify clients for some reason or another. Most of the time is wrapped around a work type. An example would be that need to email payroll clients in New York about upcoming min wage increase. Right now I’m exporting the entire contact list and workflow separately. i then i use a formula to match the client code in both files to pulling the email address. The process always takes me about a hour to send an email.

Using Karbon Time exclusively without Tsheet going forward

Hi, all, I wonder if anyone has stopped using Tsheet and started using Karbon Time exclusively. I have both sync at the moment, but I would like just use Karbon going forward. When I disconnect Tsheet, I cannot clock on Karbon Time. Any idea how to fix this? Thanks,Joy

Emails with same subject in Triage

Occasionally we send out mass emails to groups of clients, using bcc functionality in Gmail. However, we’ve found that when clients respond, Karbon groups all of those responses together in a single message in Triage rather than separating them by client. They way that Triage handles these messages makes it confusing to see who is responding to the message and limits what you can do with the message after opening it. I’m curious if others have experienced this issue and how you work around it?

Emails copied or shared with colleagues automatically

We are considering a team member change for a client that we do extensive bookkeeping work for. We often assign some facets of the work to interns or junior staff and rotate that work so that they get new client experiences. That said we don’t particularly want our client to be aware that another junior staff or intern is doing their work! The client emails the currently assigned junior staff with task information, etc. How do we best use client teams or any other karbon features that would automatically assign emails from this client so that the new intern assigned as well as other team members working with this client will get information needed to do the bookkeeping work? Does the team member that is the email recipient get the email in his triage and then tags it to the work and that is how the other team members get notification of the email? Or is there a setting that would put all emails from that client in the triage of all team members?I am new to karbon and still learni

Client tasks - notifications

Hi AllWith Client Tasks - we send out annual questions to clients for preparation of their financial statements and tax returns. We have a Client Task section with individual tasks for responses, download/upload files etc.The Assignee for the Work is the Accountant. But we send the Client Tasks from me (Practice Manager)When the client responds to each individual task both myself and the accountant get triage notifications. This morning each of us has 10+ notifications in triage for this one client/work item. Hugely distracting.Would be better if only one person got the notifications (either assignee or sender, not both) and maybe to have option to choose which person for each client task section? Would be even better if we didn’t get notifications on each individual task within the section, but a summary or daily update on the client task section overall (i.e. if client has updated a task during a 24 hour period, then the daily notification shows what has changed on that task or tas

How to you encourage your team to keep on top of their Triage and To Do list?

Hi guys,It’d be great to hear your personal experiences. Especially when it comes to Monthly recurring work which includes a number of tasks to be completed, sometimes To Do lists can become quite chunky (although can be cleared very quickly and easily usually).

Date Format Issue

Hi there, I have an issue with date format which seems to have changed for me when I view works in karbon. For me the format is MMM DD YYYY but the same works on my colleagues Karbon shows as DD MMM YYYY.I can’t see where this setting can be changed or why it should be different for meCan anyone please point me?ThanksRob

With reference to this article: https://help.karbonhq.com/en/articles/2487653-how-are-contacts-linked-with-the-practice-ignition-integrationWe had a case that was not handled as per the logic in the above article.We added a client on PI with name Jane Doe for contact and client and email john@doe.com (husband’s email). The hushband John Doe was already a client on Karbon. PI then added the work item to John Doe on Karbon instead of creating a contact Jane Doe and adding the work.According to flow diagram in article:Are client and contact name the same: YesIs there a person with same name (not email) in Karbon: NoThus a new person should have been created in Karbon.Please clarify? Is name in the article also referring to email? If so I think the article should mention that.

How to create a work template or work item with NO client

There are some processes each year in our tax practice that are done in bulk and are not attached to a specific client. The task in question is software updating and data rollover, although there are several more that I would like to be able to schedule in Karbon.When I create a new work template or item, the Client field must be filled in order for me to create the work. I have tried selecting different Work Types, and that has not helped.

Timesheet periods in Karbon

Hi,I was wondering if there is a way of changing the timesheet periods in Karbon so they line up with our payroll periods? At present the system shows the current period Jan 10 - Jan16 2022 but I would rather have the period commence for the current period today 13 Jan to coincide with our payroll period.

I have a number of emails this morning that have not flown through to Triage. They are not in Low Priority and I haven't cleared them by mistake - they just haven't come through. Has anyone else had issues?
