In working to get Time & Budgets up and out of the door, we sent out a survey to understand what billing rates were by role and the related fixed fees charged per service provided. We have that information across different geographies and firm sizes. Thank you all for participating to provide some understanding so we could set some default rates and details within Karbon. Would it be of interest to post those results here? I would love to hear from the community how those averaged rates and fees differ to your own. There appears to be quite a lot of variation from the data. In addition, is this something you would like to see/learn more from us in terms of the underlying research that we do? Let us know!
I would appreciate ideas on how to use karbon for follow up. I am a new user. Example, if i assign an email to a staff member, I would like to have a follow up reminder so that I can check that the email or task was in fact completed by the colleague. How do other users use karbon tools to follow up on things that are delegated but need to be verified for completeness?
Hi, been watching the client portal webinar and all looks fantastic - great work!A couple if questions:If a client has multiple entities in Karbon that are managed with the same email address, are they able to create logins to see work for each entity? e.g. company, individual, trust? Or will they only be able to see the work for the ‘main’ entity their email address is assigned to ? With the client portal and completed tasks - is there anyway to sort these in a particular order (eg date most recent) - I can;t tell how completed tasks are sorting by default and a text task I have just completed appear 2/3 way down the list. After creating an account the confirmation email that a client receives comes from “Karbon Concierge” - most clients will have no idea who this is and will miss the practice name (in the subject line) - could this be changed to the practice’s Company Name field (in Settings, Account Settings)?Many thanksRob
I’m wondering how other firms work with due dates that change based on task completion.Currently, we only have the option in an automator to change the due date to x amount of days after the automator is triggered. Logically, it would only make sense to set a specific day.For example, a personal tax return has a due date of April 15. However, when the task “Extension” is done, the due date now changes to October 15. With the current setting, because I can only set the due date an amount of days later, it won’t give an accurate due date since I will be completing the task “Extension” on different days.Changing due dates for hundreds of work items manually is a real pain.Any ideas?
Curious what your best practices are for situations where customers have specific requests for what email address you use for certain types of items. We have a number of customers that would like us to email them to their personal email addresses for specific items, and business addresses for other specific items, but it is not cut and dry. We are not emailing ‘all personal items’ to their personal email address, and ‘all business-related items’ to their business email address. This seems to be most specifically when someone else may have access to their business email address, so they want something business-related sent to their personal email address.It is quite difficult to manage these requests across customers, despite our best efforts, and aside from adding notes to every work item or the timeline there’s no super clear way to add this information that will be accessible when a colleague is emailing that customer, an inevitably we don’t do a perfect job at choosing the correct e
Does anyone use Time and Billing in Karbon and have mostly a fixed fee pricing structure? If you do, how to determine job profitability in Karbon, or do you?Our business is about 95% fixed fee. For us, having a billing rate in Karbon for each role is not useful in determining job profitability. Ideally, I would need to load into Karbon the loaded hourly rate for each employee (not just role). Currently we track our time and billing in Xero’s PracticeManagement and we can get job profitability out of that system. We would rather use Karbon for Time and Billing since the it would reducing switching cost between the two app during the day. I know that I could export the time data and dump it into a data analysis tool to determine job costing, but that requires a manual process and additional work that I don’t really want to do. Also, I would like to keep everything in Karbon if possible.
I am looking at our contacts - People vs Organizations vs Client Groups - and would love to see what others are doing.For people - Are you creating a contact for each person on a tax return - both taxpayer and spouse? For client groups - are you creating a client group for each joint tax return? And then are you creating work for the taxpayer of the client group? For clients with personal and business returns are you 1) adding the person + organization to the client group? And then do you assign the tax return work to the person and organization or to the client group?
We just launched out our annual tax packets to 400+ 1040 clients through the Karbon Client Task feature in the work items. Two things we are struggling with:Clients completing the task by clicking the check box from the email directly and NOT reading what they are supposed to do. Clients not receiving their original task email.Anyone else struggling with this? Any suggestions?

Hi all,Just a quick query on how people track un-billable non-client related time within Karbon. With the advent of staff working from home due to COVID mandates in our area I’m keen to track all work undertaken by staff, not just the billable elements and not just those related to specific client work (billable or otherwise). Any suggestions as to how this is handled that would be greatly appreciated.
There are some processes each year in our tax practice that are done in bulk and are not attached to a specific client. The task in question is software updating and data rollover, although there are several more that I would like to be able to schedule in Karbon.When I create a new work template or item, the Client field must be filled in order for me to create the work. I have tried selecting different Work Types, and that has not helped.
I am using a template which is called “Weekly Accounting”I can’t remember how we set it up so the title includes the date and it changes every week. That’s what a current one for one of our clients looks likeI use the template then I change the title but I can’t get the title to include the applicable week.Dan
We started using Karbon (actually IPM powered by Karbon) in June for our clients on extension and our ongoing accounting clients. For the tax work - we used the Proconnect templates and imported the tax returns from ITO. We are in the process of updating all the tax templates now that we had the ability to work with the system. And that leads to my questions about best practices.Some of the template details will change for us year to year as we plan to have clients click off client request tasks regarding that year’s due dates and pricing. As such we don’t plan on setting up repeating work for annual tax returns. I am curious if setting up work for each year’s tax return is a better idea than having to update the repeating client work each year. It seems about the same level of effort to me, but I just wanted to see if I may be missing a bigger picture on this. Hi all, I’m new to Karbon and have been using it for a few months now for job tracking - going well. We are now about to venture into the next phase which is recurring jobs, particularly for Quarterly BAS and monthly IAS. So I have a job in the system for the September 2021 BAS for a client. Job starts 1/10/2021 and finishes 29/10/2021 (being the end of the month on a weekday). I go to create a recurring quarterly job using this job and selecting “quarterly” as the repeat settings. Looking at the repeat preview the first BAS job is Jan to March 2022 (completely ignore December BAS) and the job dates are starting 31/12/2021 finishing 28/04/2022. So the problem is the job can’t start 31/12/2021 as the month hasn’t even begun then - the job should start 01/04/2022 but I can’t for the life of me find a way of changing the start date on the recurring jobs? I’m clearly missing someting - HELP!!! :)
Administrative tasks completed after tax return due date will make the overall work overdue (but return was filed timely)
Current process is provide clients with draft return (watermarked draft) to review, once approved they sign the efile signatures. The returns are then efiled, and after getting acceptance confirmations we upload the final copy of the returns (without draft watermark) to the client portal. I’ve set the due date for tax returns as the statutory due date, but some of the tasks included in the workflow might be completed AFTER the due date (waiting on acceptance from taxing authorities, providing client with final copy of the return, etc) which when marked as completed/done after the statutory due date will show the overall work as overdue and the reports/insights will show as such. I obviously do not want to change the due date because that is when the tax returns are due, but how are you guys tracking other administrative tasks that may occur after the tax return deadline? Any ideas when client tasks will be made secure agian?The “magic link” is magic for anyone who has hacked into a client’s email account and wants unfetted access to the contents of a list. They can magically open and see any sensitive information we send them and see anything typed into the fields by a client that has not yet been completed.At least the old PIN system provided some protection.As far as I can see at the moment, we can no longer ask clients for sensitive information through the client tasks functions.I’d love to hear that I’m wrong.
As my firm tries to transition from using the Todo to using My Week we’ve run into a pitfall: members with the most tasks/work items due are struggling to find a practical way to keep up with their work in the My Week format. It seems as though we’d have to go and change all of our Work Items to unique Work Types in order to somewhat minimize the clutter, but other than that we are at a loss.What is some advice on a seamless transition to My Week?
We are using the Karbon <> TSheets <> QBO sync to get our time from Karbon to QBO. Our goal is to book time against individual work items, but they come across as sub-clients in QBO, and when we go to generate an invoice, each sub-client (work item) comes through on the invoice with its own heading and subtotal and there is no way that I have found to shut it off.I’m wondering how others get time and materials invoicing done through QBO. We love the payments feature in QBO and have seen our AR go way down, but the invoices are so ugly that we have decided to just book time against clients instead of work items, which comes with it’s own set of issues (it’s much harder to track budgets etc.)Looking for any non-flat-rate billers out there who have come up with a simple way to get this done.
There is a video I would like to send to a client about the new portal access. It says you can send a copy, but how do you get a link to send it? Is it just the help article link? How would you handle a template that offers more than one possible outcome? For example, if we have a 1099 work item and in the early stages we either determine no 1099s are required or the client tells us there are none required, how do we define the tasks? In such a case, we want the conclusions and workpapers of the staff member to be reviewed before the project is completed. In this case I would not want the next section, “Prepare 1099s,” to be triggered. But I do want the work item to be documented in karbon. We also prepare 1040s for a client that sends us their clients’ returns, several of whom do not have to file, but we make that determination as a part of our service to them. This would be a similar case. I’m new to Karbon and this is challenging!In summary, the early steps of the work item follow one path, but then depending on whether or not the returns are required to be filed it can go one of two ways.Thanks to anyone who can help!
