Security over client tasks

Any ideas when client tasks will be made secure agian?The “magic link” is magic for anyone who has hacked into a client’s email account and wants unfetted access to the contents of a list. They can magically open and see any sensitive information we send them and see anything typed into the fields by a client that has not yet been completed.At least the old PIN system provided some protection.As far as I can see at the moment, we can no longer ask clients for sensitive information through the client tasks functions.I’d love to hear that I’m wrong.

Multiple Email Addresses

My boss wants me to have access to his email account in Karbon (as well as mine) so that I can take over the admin tasks from him and create work for both of us so that he isn’t bogged down with this side of the business.I have read the best practice suggestions to create an alias and add that to the MS 365 settings - my concern is that we don’t want a general/alias email. We want clients to still be able to send emails to him rather than an alias address. Is there a way to do this other than adding his email to my Karbon account.

How to auto share emails for staff

Hello Karbon Community,I have a fairly new team member and am wonder if there is a way for me, as the admin, to set up auto sharing of his emails or is that a setting that only he can control. I am hoping that this is something that someone here has dealt with before.Thanks in advance.

How to create a work template or work item with NO client

There are some processes each year in our tax practice that are done in bulk and are not attached to a specific client. The task in question is software updating and data rollover, although there are several more that I would like to be able to schedule in Karbon.When I create a new work template or item, the Client field must be filled in order for me to create the work. I have tried selecting different Work Types, and that has not helped.

Sometimes my team and I need to send an email using a team email address to email our clients instead of our own email addresses. Can we send an email from a team email address in Karbon?

Managing/Tracking internal compliance of Karbon features

I’m looking for some suggestions about tracking internal Karbon usage. I am discussing with my Karbon CS rep too, but I thought I’d crowdsource some other ideas! ContextWe’ve spent a lot of time recently documenting how we use Karbon and our internal best practices/expectations, and this month everyone in the firm is completing our own Karbon training. As part of this, we want to be able to track and follow up with team members who are struggling to meet our targets.We don’t currently use Email Insights or Intelligence, so I’m hoping to also get some feedback from those who are using it that would help me build a business case if need be. KPIs I’m hoping to track!Triage (these are available in Insights I believe - what (if any) details can be exported? No Office 365 signature found to import.

I have a signature in my Outlook, and my O365 account is connected to my Karbon but when I click “Import Office 365 Signature” I get the error message: “No Office 365 signature found to import.” Why is this happening?

Task complete why do we have to move to done

Our accountant completed all of her tasks in our monthly accounting task, she clicked off on all of them then realized the still show as incomplete because she has to do the additional task of moving them to done. This doesn’t seem to make sense. Is there a setting where we can change it so when the task if checked off in our monthly accounting work that it is automatically moved to done?

Administrative tasks completed after tax return due date will make the overall work overdue (but return was filed timely)

Current process is provide clients with draft return (watermarked draft) to review, once approved they sign the efile signatures. The returns are then efiled, and after getting acceptance confirmations we upload the final copy of the returns (without draft watermark) to the client portal. I’ve set the due date for tax returns as the statutory due date, but some of the tasks included in the workflow might be completed AFTER the due date (waiting on acceptance from taxing authorities, providing client with final copy of the return, etc) which when marked as completed/done after the statutory due date will show the overall work as overdue and the reports/insights will show as such. I obviously do not want to change the due date because that is when the tax returns are due, but how are you guys tracking other administrative tasks that may occur after the tax return deadline? Do you end the workflow tasks at filing the returns and create another task for the administrative tasks with your i

Creating usable Standard Operating Procedures and Checklists in Karbon

I am training new team members so our standard operating procedures are quite detailed. For management accounts or year-end - I want them to run through a detailed checklist like so…. I have one test job open for management accounts and of course every task appears in my ToDo list which is horrifically overwhelming with just one job open!! I've created each of these checks as subtasks hoping they would not appear in the Work List but here they are! It will be unworkable if I roll this out. But if I set all the steps out in the notes - the person doing the job has nothing to check off and I have no way of knowing if they've considered every step without micromanaging the work.The only solution I can think of is to change the colour of the text of the steps actioned. But the visibility of that is lost when you come out of the task. I can of course opt for a much smaller list of headline tasks which would be much less overwhelming but then where do you put the detail of the SOP in a

I'm familiar a bit with API, but I never worked with webhooks, can any share instructions on how to create one?Here is what I want to do, we have a database (Google sheet & Airtable) with all our clients, and it's intergraded with Poser BI, where we have multiple dashboards in Power BI. External links/hyperlinks in Karbon not working

I cannot find this issue discussed anywhere else. When I paste a hyperlink in an email within Karbon, the link does NOT work when received by the recipient in Karbon. If the email is generated in Outlook with the link pasted in, then the link DOES work when received by recipient in Karbon.Is this a known issue and is there something I should be doing in Karbon to ensure that the recipient can open the link, without having to use the Outlook workaround?

Karbon Side Menu

Before yesterday afternoon the side menu was always visible and I had the option to click on the X and hide it. Now the menu never appears and in order to see it I have to click the 3 bars at the top left. I don know what happened that changed it and I don’t see a way to change this. Can anyone help. Anybody out there find a way to track within Karbon each client’s source? For example is a new client came to me as a referral from another client I want to always now how they came to me or from a specific promotion or referred by a specific attorney.

Is My Week Practical with High Volume Work?

As my firm tries to transition from using the Todo to using My Week we’ve run into a pitfall: members with the most tasks/work items due are struggling to find a practical way to keep up with their work in the My Week format. It seems as though we’d have to go and change all of our Work Items to unique Work Types in order to somewhat minimize the clutter, but other than that we are at a loss.What is some advice on a seamless transition to My Week?

Client task but only with email

I’ve got an idea where when a work item hits a certain stage, such as:Books closed each month; Tax return in for review; Tax return ready for signature; etc.That an email automatically sends to the client.Currently for our month-end close work item, I’ve got a client task as the last section so that the bookkeeper can send an email to the client saying their books are now closed. On top of this, even if it’s not possible to automatically send this when the last internal task is completed, it would be awesome to send the notification but without an actual client task. More like an email being sent but associated with a specific work item. That way the client doesn’t need to login and mark off the task. I was looking through the API documentation to see if there’s a way to send an email but it doesn’t look like it. That might’ve worked because the email would be associated with the work item it’s being sent about to notify the client of a change in the work item status that they may wa
