I’m looking for some suggestions about tracking internal Karbon usage. I am discussing with my Karbon CS rep too, but I thought I’d crowdsource some other ideas! ContextWe’ve spent a lot of time recently documenting how we use Karbon and our internal best practices/expectations, and this month everyone in the firm is completing our own Karbon training. As part of this, we want to be able to track and follow up with team members who are struggling to meet our targets.We don’t currently use Email Insights or Intelligence, so I’m hoping to also get some feedback from those who are using it that would help me build a business case if need be. KPIs I’m hoping to track!Triage (these are available in Insights I believe - what (if any) details can be exported? Is this available in the API to push into a spreadsheet?)Volume of email in Triage Ideally the amount at EOD for each user, and then a daily EOD average across the month Average days notifications are in Triage in a calend
Just a thought.Would it be great if, once the client had completed their tasks, the work item would show as completed for them and move into an “ongoing section” until the work item is fully complete.If more tasks are added, it would move back in to their “to do” list.Please make it happen as it would be awesome.ThanksP
i sent a client task to someone with some questions. They entered a comment on the client task. How do i now get that information out of Karbon and into my workpapers? I need those notes printed out but i don’t see anyway to print that like i might print an email.
sometimes a client will call me to ask about the status of his return. I click on the magnifying glass to search for the work. then i open the work. I see which tasks have been marked off and where the project is - then i think i should put this at the top of the queue to finish off today. There doesn’t seem to be any way to mark a task to put it in My Week as “working on now” while i’m in the project. Is that right?
Hi guys, I am fairly new to Karbon.Just wondering how everyone is managing client according to their needs and types of services provided. For instance, if want to quickly find clients who are individuals with business schedules to assign them specificly tailored templates for tax work, or if you want to pick ones you are doing BAS’s for.In our tax lodgment software, we have ability to assign Extra fields and then do reports based on certain parameters. Wondering if something similar exists in Karbon.I notices, you can add “Services” to clients in their details section but it doesn’t seem to do anything. Kind regards,Elena
I am training new team members so our standard operating procedures are quite detailed. For management accounts or year-end - I want them to run through a detailed checklist like so…. I have one test job open for management accounts and of course every task appears in my ToDo list which is horrifically overwhelming with just one job open!! I've created each of these checks as subtasks hoping they would not appear in the Work List but here they are! It will be unworkable if I roll this out. But if I set all the steps out in the notes - the person doing the job has nothing to check off and I have no way of knowing if they've considered every step without micromanaging the work.The only solution I can think of is to change the colour of the text of the steps actioned. But the visibility of that is lost when you come out of the task. I can of course opt for a much smaller list of headline tasks which would be much less overwhelming but then where do you put the detail of the SOP in a
I’m racking my brains trying to work out how to make these work with our clients. They are not working as well as I'd hoped because:1) Client gets overwhelmed with a large volume of emails saying tasks have been updated but they can't see which one without opening all. We had a more effective process before using Trello.2) Can't copy multiple people in on the list. Can't share a list. Pain in the bum to duplicate a list. And of course, that risks two people actioning the same task. Clients expect to be copied into tasks I am setting their team members to action to make sure that I'm progressing their job. most of our clients are quite large so in 70%+ of our clients the ToDo list would go to muliple people - Co-Directors or A Manager and the Team Member. Client Tasks is THE main reason why I signed up to Karbon but they are just not working for me.Wondering how more experienced Karbonites are using this feature!
Hi AllWith Client Tasks - we send out annual questions to clients for preparation of their financial statements and tax returns. We have a Client Task section with individual tasks for responses, download/upload files etc.The Assignee for the Work is the Accountant. But we send the Client Tasks from me (Practice Manager)When the client responds to each individual task both myself and the accountant get triage notifications. This morning each of us has 10+ notifications in triage for this one client/work item. Hugely distracting.Would be better if only one person got the notifications (either assignee or sender, not both) and maybe to have option to choose which person for each client task section? Would be even better if we didn’t get notifications on each individual task within the section, but a summary or daily update on the client task section overall (i.e. if client has updated a task during a 24 hour period, then the daily notification shows what has changed on that task or tas
I’m not sure if something might already exist or if this would need to be a feature request.Wanted to know if there was a way to set the Privacy of a Person Contact to show visability of communication connected to their contact card to only those who are also part of the client team for the organisation. Eg. “John” has sent an email to us (CBC) this email is automatically connected to “John” as a personal contact, then connected to any relevant work & Organisation “Company A” that applies.“John” has a Public privacy setting, but “Company A” is Private. The email can still be seen by everyone at CBC (total 10 people) from the timeline for “John” but we want to limit the privacy to that of the Organisation for this email now that it has been connected to “Company A” (client team of 4).We have a few person contacts, that are connected to multiple Organisations. And these Organisations have different client teams, we would like to limit visibility by Organisation and still have the opt
Hi everyone, I’ve tried to search the Community but can’t find an answer for this.How do you make sure that you are not missing compliance deadlines for clients, and have good line of sight on them at least 30 days in advance? For example, do you set a protocol that for personal tax repeating work items, the work due date is always set at 15 days before the personal tax deadline for all clients? And similarly for sales tax, corporate tax, payroll, etc.? We haven’t really set such a protocol and found that different team members set different due dates for compliance-related work items (either a few days before the due date or after, if there are follow-up tasks to do such as confirming a Notice of Assessment is available from tax authorities after filing).This makes it difficult to quickly see the ‘true deadline’ for each compliance work item, and across all work items to identify risks/issues early.Would love your thoughts on this - how have you managed to document and monitor deadlin

Has anyone else noticed that the repeat preview section no longer shows a preview of the repeating name when adding a placeholder to a work naming convention?Previously, I would see the name of the repeating work item in the repeat preview area when I added a placeholder. If it wasn’t what I wanted, I could adjust it before I create the repeat. Now, this area remains blank and I have to create the repeat, look at the item’s name to see if it was what I wanted and if not edit to change the placeholder.Anyone else seeing this issue?
How are your team recording their TOIL of their Karbon timesheets? I need to devise a system for staff to record their time off in lieu. A system we came up with in our last time recording software was to record negative time to a code. For example, if someone worked one extra hour in a day they log all time that day to a client/work item as usual then they would log ‘-1’ hour to the TOIL code, then, when they wanted to take the time off they would log it to the same code and they could run their own report against this code to track. We can’t log negative time in Karbon, so I’m wondering what others do? The best I can come up with is for everyone to keep a TOIL note at the bottom of their timesheets each week (e.g. brought forward hours +/- this weeks hours) but it’s a bit of a faff ! Hi everyone! Overall we are loving the Client Portal, however we are running into HUGE issues with clients that have multiple entities in their business.We don’t currently have the entity name in each work item. As a result, when they open up their portal, they have no way of distinguishing between entities.The only fix I’ve found at the moment is to add the entity name to each work item, but it will take me hours to do.
We have an issue when sending emails to client with client tasks or reminder. Our email template was setup with placeholder but how do we know what is the placeholder information. For now we use “preferred name” and “client name” but in both case it is using the company name so our email state Hello “company name” instead of the actual contact name. Is it a problem with the setup of the placeholders or with the way the contacts were setup?
I am trying to add an email from a client to a specific workflow, but when I click on the three dots and hit add to work Karbon only provides suggested workflows. I noticed these workflows are previous work items that I worked on. When I tried to search for the specific work item I had zero luck. My work around was to go to the workflow I wanted to add the email to, that way it was in my most recent, then add to work under suggestions. I feel that going to the work just so it’s in my recent definitely wastes a lot of time. It would be helpful to be able to search any work/client with Karbon. Just to add… Karbon does let me search work/clients but only finds a handful.
