Documents in karbon that are live
Hi, we are a new user, still working on our configuration and learning. We had in mind that we could attach a live document to a work item. But, I am now realizing that any time we want to update the document (like adding this week's payroll to an annual based payroll workpaper file) we would have to download the document, update it and then upload the changed file back. So, it seems that karbon is not meant to work efficiently with live documents. Am I missing something? I hope I am stating my concern clearly and apologize if not. For example, as we are doing payroll work, in our current system we would have a payroll prep workpaper pdf file. Each time we prepared payroll we would add bookmarks and the next payroll prep workpapers to this same pdf document. Now it seems we would not so efficiently be updating the workpaper pdf file, if it is stored in karbon. Unable to edit timesheet entries
I have been working on setting up Time & Budgets for our firm. There seems to be a problem with the timesheet approval process. When a colleague submits their timesheet for approval, I am not able to edit their timesheet entries. The How To Instructions specifically say that you should be able to do that. Can I Delete Archived Emails in Outlook
I have close to 200,000 cleared emails now! My Outlook mailbox is starting to get full and now I have a question I never thought I would have to worry about. If I delete the emails from the Archive folder in Outlook do I lose them in Karbon?If so, what is the fix to lower my usage in Outlook?
Scorecards and KPIs - Anyone love what they track?
We’ve recently started tracking our business on a weekly scorecard.Our first draft leading measures:Past due work count for each: Bookkeeping Accounting Tax Unbilled WIP AR over 30 Days New Business PresentationsOur lagging measuresYoY Revenue Growth 365-day Revenue/staff Gross Profit % Net Profit %We have targets for each of these numbers. I’m curious what other firms are tracking. I don’t want to track too much. Smaller groups will eventually have their own scorecards to track details related to their work area.My premise states that if we are doing these activities (completing work on time, billing work timely, collecting on billed work, and offering proposals for new work), our lag measures will head the right direction, and if they aren’t, there’s a deeper issue we can explore (like pricing, efficiency, etc.).
Ignition + Karbon integration questions
We’re exploring integrating Karbon and Ignition again. Is there anyone who has the integration enabled and would be able to answer some questions from a colleague? She’s got some questions about how it works with regards to budgets, billing and fixed fee vs. time and materials work.Additionally, any best practices when integrating would be helpful! We’ve integrated before and weren’t diligent with contact names so caused lots of duplicates, and ended up disabling the integration. What else should we be aware of/limitations?
Virtual Assistant with Karbon Experience?
We are struggling to find good admin staff locally and the Karbon learning curve doesn’t help. Has anyone used a virtual assistant with Karbon experience? Any idea where to find such a person? I envision someone that knows Karbon through and through, who could work remotely for one or multiple firms, managing the day-to-day flow of information and work. I’d love referrals if anyone knows this person!
What is your client onboarding process?
We are looking at improving our client onboarding process - high level of the process below.Currently, we launch a couple of onboarding work items and have triggers within that process to create work for recurring services as we are ready to begin that part of the engagement. The reason we do multiple work items is because multiple teams are involved and some of the work actually happens concurrently.What have you done within Karbon regarding your onboarding that has worked well for your team?
Multiple email addresses in one account
Can I have my Karbon account linked to more email addresses than one?We want to add a central email@example.com email address.Is there a way of linking my firstname.lastname@example.org and email@example.com accounts so I will receive emails for both accounts in my triage? Also, when sending emails out, could I pick which account I want it to be sent from?
Work Creation - Bulk Change Create Work
Is it possible to perform a bulk change to the Create Work field in repeating work items? For example, I have 400+ work items that will be triggered into creation on 10/15 as the create work is currently set to 6 months before work start date. I would like to bulk change this to 3 Months before work start date (ideally 4 or 5, however not a choice available).Or is this something that could only be done on the back-end by Karbon support?t/y
Hi, been watching the client portal webinar and all looks fantastic - great work!A couple if questions:If a client has multiple entities in Karbon that are managed with the same email address, are they able to create logins to see work for each entity? e.g. company, individual, trust? Or will they only be able to see the work for the ‘main’ entity their email address is assigned to ? With the client portal and completed tasks - is there anyway to sort these in a particular order (eg date most recent) - I can;t tell how completed tasks are sorting by default and a text task I have just completed appear 2/3 way down the list. After creating an account the confirmation email that a client receives comes from “Karbon Concierge” - most clients will have no idea who this is and will miss the practice name (in the subject line) - could this be changed to the practice’s Company Name field (in Settings, Account Settings)?Many thanksRob
Question for everyone: Interested in billing rates and/or fixed fees per service by geography?
In working to get Time & Budgets up and out of the door, we sent out a survey to understand what billing rates were by role and the related fixed fees charged per service provided. We have that information across different geographies and firm sizes. Thank you all for participating to provide some understanding so we could set some default rates and details within Karbon. Would it be of interest to post those results here? I would love to hear from the community how those averaged rates and fees differ to your own. There appears to be quite a lot of variation from the data. In addition, is this something you would like to see/learn more from us in terms of the underlying research that we do? Let us know!
How to do follow up in karbon
I would appreciate ideas on how to use karbon for follow up. I am a new user. Example, if i assign an email to a staff member, I would like to have a follow up reminder so that I can check that the email or task was in fact completed by the colleague. How do other users use karbon tools to follow up on things that are delegated but need to be verified for completeness?

Best Practices for Clients with Specific Email Address Requests
Curious what your best practices are for situations where customers have specific requests for what email address you use for certain types of items. We have a number of customers that would like us to email them to their personal email addresses for specific items, and business addresses for other specific items, but it is not cut and dry. We are not emailing ‘all personal items’ to their personal email address, and ‘all business-related items’ to their business email address. This seems to be most specifically when someone else may have access to their business email address, so they want something business-related sent to their personal email address.It is quite difficult to manage these requests across customers, despite our best efforts, and aside from adding notes to every work item or the timeline there’s no super clear way to add this information that will be accessible when a colleague is emailing that customer, an inevitably we don’t do a perfect job at choosing the correct e
We just launched out our annual tax packets to 400+ 1040 clients through the Karbon Client Task feature in the work items. Two things we are struggling with:Clients completing the task by clicking the check box from the email directly and NOT reading what they are supposed to do. How to have oversight of all work for a given client (Including notes and emails)
Our team has posed the question, whether we should use a basic ‘ad hoc’ work assignment template, instead of assigning emails and notes as tasks. This is in the context of small ad hoc tasks that come through from clients, for example if a client calls and asks for details from their accounts.If I receive that call, I will usually create a note, and then assign this to a team member to action. The question is whether we should use a ad hoc work assignment template instead, which has a basic action stage, and then review stage for whoever assigned the work.This would then show all client work and tasks, in one easy to identify place, being the client’s work screen, and would also mean that the person setting the task will automatically receive a task to review the work once it has been actioned.Any thoughts on whether this would be worthwhile trialing or implementing, or whether we are going against the way Karbon intend for us to use the software?
Help trying to setup title for a weekly work item
I am using a template which is called “Weekly Accounting”I can’t remember how we set it up so the title includes the date and it changes every week. That’s what a current one for one of our clients looks likeI use the template then I change the title but I can’t get the title to include the applicable week.Dan
Due Dates in Automators
I’m wondering how other firms work with due dates that change based on task completion.Currently, we only have the option in an automator to change the due date to x amount of days after the automator is triggered. Logically, it would only make sense to set a specific day.For example, a personal tax return has a due date of April 15. However, when the task “Extension” is done, the due date now changes to October 15. With the current setting, because I can only set the due date an amount of days later, it won’t give an accurate due date since I will be completing the task “Extension” on different days.Changing due dates for hundreds of work items manually is a real pain.Any ideas?
