Good day,I wanted to find out if anybody knows the estimated date when the new billing feature of Karbon will be released? I have gradually switched over my firm to capture time on KarbonHQ and fully switched over from Xero Practice Manager on the 1st of August. As I understand, the release will be in August but a more accurate date will be much appreciated for planning. Regards!

Hi all,Just a quick query on how people track un-billable non-client related time within Karbon. With the advent of staff working from home due to COVID mandates in our area I’m keen to track all work undertaken by staff, not just the billable elements and not just those related to specific client work (billable or otherwise). Any suggestions as to how this is handled that would be greatly appreciated.
Our team has posed the question, whether we should use a basic ‘ad hoc’ work assignment template, instead of assigning emails and notes as tasks. This is in the context of small ad hoc tasks that come through from clients, for example if a client calls and asks for details from their accounts.If I receive that call, I will usually create a note, and then assign this to a team member to action. The question is whether we should use a ad hoc work assignment template instead, which has a basic action stage, and then review stage for whoever assigned the work.This would then show all client work and tasks, in one easy to identify place, being the client’s work screen, and would also mean that the person setting the task will automatically receive a task to review the work once it has been actioned.Any thoughts on whether this would be worthwhile trialing or implementing, or whether we are going against the way Karbon intend for us to use the software?
Is it possible to tag multiple emails in Triage to the same work in one go? i know this is possible when done one by one. For example i have had 5 emails from a client that all relate to the same piece of work, instead of individually tagging them each to that work can you select all 5 emails and tag them to the one work?
Hi all, I’m new to Karbon and have been using it for a few months now for job tracking - going well. We are now about to venture into the next phase which is recurring jobs, particularly for Quarterly BAS and monthly IAS. So I have a job in the system for the September 2021 BAS for a client. Job starts 1/10/2021 and finishes 29/10/2021 (being the end of the month on a weekday). I go to create a recurring quarterly job using this job and selecting “quarterly” as the repeat settings. Looking at the repeat preview the first BAS job is Jan to March 2022 (completely ignore December BAS) and the job dates are starting 31/12/2021 finishing 28/04/2022. So the problem is the job can’t start 31/12/2021 as the month hasn’t even begun then - the job should start 01/04/2022 but I can’t for the life of me find a way of changing the start date on the recurring jobs? I’m clearly missing someting - HELP!!! :)
I’m wondering how other firms work with due dates that change based on task completion.Currently, we only have the option in an automator to change the due date to x amount of days after the automator is triggered. Logically, it would only make sense to set a specific day.For example, a personal tax return has a due date of April 15. However, when the task “Extension” is done, the due date now changes to October 15. With the current setting, because I can only set the due date an amount of days later, it won’t give an accurate due date since I will be completing the task “Extension” on different days.Changing due dates for hundreds of work items manually is a real pain.Any ideas?
Looking for a solution to email clients for reasons not part of a workflow. i run into situations that i need to notify clients for some reason or another. Most of the time is wrapped around a work type. An example would be that need to email payroll clients in New York about upcoming min wage increase. Right now I’m exporting the entire contact list and workflow separately. i then i use a formula to match the client code in both files to pulling the email address. The process always takes me about a hour to send an email.
Occasionally we send out mass emails to groups of clients, using bcc functionality in Gmail. However, we’ve found that when clients respond, Karbon groups all of those responses together in a single message in Triage rather than separating them by client. They way that Triage handles these messages makes it confusing to see who is responding to the message and limits what you can do with the message after opening it. I’m curious if others have experienced this issue and how you work around it?
We are looking to switch form our current software to Karbon, but the time and billing is hard for me to grasp. Right now we have several flat rate billed clients. We book WIP to the flat rate invoice and keep an eye on our margins. I cannot seem to find a way to do this in the Karbon to TSheets to QBO integration pathway. Maybe I’m missing something?
Hi all!!! This is a two part questionI know that you can automate a workflow to set a due date and status, is there a way to automate the To-do date of a section/task in a workflow? To give you and example of what I want to achieve - there is a section in a monthly workflow that is assigned to a colleague - I only want this section to show in my colleagues To-do on the 29th of the month, and change the status of the tasks in this section to “in-progress” at the same time, using automators. I have a couple of monthly clients and their workflows start on the first of the month, but have approximately 10 - 15 tasks each - so you can imagine what my To-do list looks like on the 1st of every month. again - is there a way to automate the to-do date of a task in a workflow. If not - have you encountered the same issue, how have you negated it - apart from moving 300+ tasks to the desired To-do date on a monthly basis?
Hi everyone, I’ve come across this a few times and was hoping someone might know a better way of doing this. When I off-board a client, I also set end date to all their active work - pretty easy.However, when I have an “annual” recurring work which has already been completed this year, I won’t see it in my “active work” list, so I need to dig through ALL work to figure out if I do have annual recurring work that I need to set end date to. How you dealt with this situation before and how did you do it? Many thanks for your help in advance!
I know the idea of Karbon is that everyone “owns” their email/tasks, but I have got to get out of everyone emailing me as the head of the company. I am going to explore ticketing systems, so I am curious to see if anyone is using those and how they can work with Karbon. I have a list of websites to check out, but I will prioritize a system that someone already is using with Karbon. I like Karbon for the workflow, so hoping to find something that works with it, so I don’t have to switch to a whole new system and recreate everything.

For semi-monthly and monthly payroll jobs that are due X number of days before the end of the month (depending on how they are processed, ie: Gusto, ADP) how are you working with Karbon’s limited settings to have accurate due dates so that Payrolls are not missed?Since the end of the month fluctuates (28/29/30/31) and the payrolls are due X number of days before the end of the month + avoiding weekends, there is not an accurate way to set up these types of Payroll jobs in Karbon so that the due dates are an accurate reflection of when the Payroll actually needs to be processed. This is causing us to occasionally miss payrolls, especially when our team has to fill in for other team members who are out and when they are not familiar with when the clients payroll needs to be run.What are your workarounds for recurring jobs that are due at/near the end of the month, but aren’t always due on the same day of the month? Hi guys,It’d be great to hear your personal experiences. Especially when it comes to Monthly recurring work which includes a number of tasks to be completed, sometimes To Do lists can become quite chunky (although can be cleared very quickly and easily usually).
