Client Portal - Deadlines
Just a thought.Would it be great if, once the client had completed their tasks, the work item would show as completed for them and move into an “ongoing section” until the work item is fully complete.If more tasks are added, it would move back in to their “to do” list.Please make it happen as it would be awesome.ThanksP
Updated client onboarding client request email
Hi allI am wondering if anyone can point me in the direction of an update to the client onboarding template that replaces the old wording in the client request email, noting how the karbon checklist works (e.g. referencing a pin number instead of the new magic links)?
How do you deal with Triage not showing whether or not someone has said something in a meeting response to you?
If you send a meeting invitation from Outlook to someone else using Outlook and they respond: Accept, Decline, Tentative and edit their response to add a message to their response, Triage doesn’t show the message, only their response.How do you deal with this?Do you open Outlook to check every meeting response before clearing it?Do you clear it without checking Outlook because you don’t care whether or not they added a message?Did you not know about this?
Workflow template - when there are multiple linear processes (two or more outcomes)
How would you handle a template that offers more than one possible outcome? For example, if we have a 1099 work item and in the early stages we either determine no 1099s are required or the client tells us there are none required, how do we define the tasks? In such a case, we want the conclusions and workpapers of the staff member to be reviewed before the project is completed. In this case I would not want the next section, “Prepare 1099s,” to be triggered. But I do want the work item to be documented in karbon. We also prepare 1040s for a client that sends us their clients’ returns, several of whom do not have to file, but we make that determination as a part of our service to them. This would be a similar case. I’m new to Karbon and this is challenging!In summary, the early steps of the work item follow one path, but then depending on whether or not the returns are required to be filed it can go one of two ways.Thanks to anyone who can help!
Client task/reminders are being send on the weekend
We are new to Karbon (using it now for about 3 months). We like it, but we found one issue, and we can't think of any workaround, so I'm curious how other people deal with this.For client tasks and reminders, you can send the work automatically once the work hits a specific date or status, but the issue is that Karbon will also send it on weekends, compared to new Works, we can move it back to a Friday before the start date, but for Client Task and Reminders, we don't have the option, for example, to move it to the following Monday.We don't wan the emails to be send over the weekend for a few reasons;We don't want our clients should think that were in the office working on weekends. If I send them tasks during the weekend, the email might get flooded with all his other emails. I want it should be fresh in his inbox Monday morning.How do you deal with this?Thank you
Triage and who can see timeline
I sometimes have clients emailing me attaching my staff on items I do not want them to be aware of. Or colleague will comment me on something and then they see my conversation with a client and I am unable to remove them from seeing the timeline. It would be helpful to be able to remove people from timeline without necessarily creating a separate new email. Is this possible?
When My Week cards move out of Done back into My Week
Looking for some My Week process suggestions! We are pretty new to My Week, so as we start using it we’re encountering scenarios we hadn’t anticipated!Key points of our processes:The Work Assignee for us stays consistent through the whole process of completing the piece of work Each piece of work generally has three people involved - a preparer, a reviewer, and a final senior review before the work is delivered to the client Some types of work will have a couple of touch points for the preparer and reviewer Current ownership of work is based on the status (e.g. Initial Preparation means the work is currently with the Preparer, when the status changes to Client Blocker it’s owned by our client success team to follow up on etc.)Problem:Once a preparer has completed their first set of tasks, it makes sense for them to move the card into the Done bucket, but based on this page, a change in Status is not a trigger for a card to move back out of Done and into This Week. question for you Karbon and Sureprep users: sometimes clients will send me an email with information for their tax return. Currently i drag and drop that email into the Sureprep binder. With Karbon, i seem to have lost that ability to easily add the email to a Sureprep binder. I’m wondering if anyone has a way to handle things like this.
To-Do vs My Week vs Work
Hey Everyone, Our firm is having some difficulty determining where we should be looking to see outstanding work for our team. We are using some iteration of To-Do, My Week, and Work as each one of them some benefits as well as their shortfalls. To-DoThis is what we have everyone use as it has the ability to list all tasks at a granular level. Our work item set up isn’t task heavy. Anything that can be done in one sitting is listed as one task with multiple steps in the description. What we do not like about To-Do is that you cannot get a total time budget allocation for all tasks in a given time period nor is it guaranteed that they will all show up on the client profile as work completed for a client. Example would be small tasks that were assigned from emails and not attached to a work item are not visible as items that were completed for a client when we are assessing how much out of scope work we do for a client throughout the year. Amending Completion dates in work
Hi all, I am hoping that it is possible (or at least on the roadmap it will be possible) to amend a completion date to the day it was actually completed, even it it’s marked off after the event. I have an employee who is getting used to changing statuses as we go, and to be honest, I sometimes forget myself. However I can usually tell from items on the timeline of a piece of work when it was completed. If I mark things as complete in my regular cleanup of work, it gives a misleading picture of how long it takes to go through the various stages. Thanks.
IPM Contact/Organization Sync Steps for Tech Stack
For Contact Sync I have the following products that I would like to all sync. I can use Zapier if needed, but I doubt that is the case. I believe the order for connecting the products to avoid duplicates etc. is:Connect Lacerte Tax (I use IPM) Connect QBO (just QBO not time) Connect Ignition Stay away from Google Contact Sync unless that is just doable for the My Contacts section.Just setting up now, so want to think twice and sync once:) ~Tom
While I see that clients can choose to login to the portal and see all requests. I have several clients who want to see items in a folder structure. For example, they login and they can click on 2021, see the tasks that were performed and also just files (without having to drill down on requests). So, let's say I send the client a draft 1040 as a client task asking them to review. My clients would like to see the tax returns by year when they are in the portal. 2019, 2020 etc. I know this is much more like a ShareFile structure, but i gotta give the people what they want:)
