Not all documents received via Client Request are showing in the Work Documents tab

A client sent documents to us by responding to a Client Request (pink external comments). Here are the details:Three files received 8/9/2024 3:25pmNine files received 8/9/2024 3:27pmTen files received 8/9/2024 3:27pmWe have confirmed that none of the files received have duplicate file names.Looking in the Documents tab for this Work item only the three files and the ten files are there. The nine files are not in the Documents tab. We thought all documents sent to us via Client Requests show in the Documents tab. What is going on?

Changing actual start date of repeating work

I am trying to change one of our clients from a monthly repeating schedule to yearly. There has been no work done for this client yet. I deleted the repeat setting and re entered it as a yearly repeat schedule. The only problem is that I need it to run Jan. through Dec. and I cannot figure out how to do this. The repeat schedule is picking up todays date June 2024 to June 2025 and so on. I am not sure how to fix the actual date to reflect Jan. 2024 to Dec. 2024.🤔

How does your firm manage timesheets for staff in Karbon?

We are starting up on Karbon right now and currently have staff mark their time in a spreadsheet with allocations for client work and Admin time.We will be moving the client work tracking to Karbon and are wondering what the best practice would be for tracking staff’s admin time and overall timesheets for payroll? Does anyone manage their full staff timesheets in Karbon? Could you kindly share your best practices and what has worked for you?

Clearing email in Outlook and retain it in Triage

In an effort to work within Triage, I am constantly clearing out my Outlook in box. How can Karbon retain the cleared email in Triage so the matter can be properly handled? Why should the same item remain in 2 places? Seems totally unnecessary.

Managing Vacation in Karbon

Hi all! I am looking for advice for how to manage vacation coverage in Karbon when employees go on a longer vacation (say 1-2 weeks). I find it easy to assign out specific tasks that may need to be covered through the “work” reporting section.However, I find it impossible to get their triage items covered. This has in some cases led to long delays in work. Any advice is appreciated. Thanks!

Budgeting & Capacity planning

I have been using Karbon for a year or so primarily for the workflow aspect however we are trying to get a grip of the capacity within the team and also populate budgets for all of the work items and was wondering if anyone could share some best practises? I have reviewed the video and guidance on the “advanced concepts” page however had issues with the approach and dont really see that working for us or atleast how we have the workflows built out… We have a number of different people up to 3 work on any given workflow however the capacity planning Kanban looks at the total time budget and assigns that total to the current assignee of the work item even if there is a split of the time incorporated on the budget and thus does not give an accurate picture of anyone involved capacity… If we also wanted to use this to look forward atall presumably we would also need the work items to generate forward?Short of taking a export of the bulk update budget and time then applying a PIVOT analysis

How to remove old time recording from prior period

We started to use Karbon time recording in 2023 in anticipation of billing that time on Karbon. We are still raising invoices on XPM, and now need to remove the WIP that has been billed on that system. What is the best way that it can be removed, while not affecting the performance of Karbon, and providing a true view of WIP, so we can set a date of moving billing from XPM to Karbon?

Occasionally a client will receive a document they need to share with us and they do not have a work item/request open or the work item that is open is not related to the document. Is there a way that the client can upload the document into the portal securely on their own without an open work item/request?We have created an independent miscellaneous document request for this issue, but it seems that it is a poor work around and requires us to send the request after the client has notified us they need to share a document with us. The other issue is that they are unable to upload so they email it to us (even though they have been instructed to never do so) and it is not secure.

Hello! One of the biggest project management tasks I have is now solved with Karbon, and that is tracking client work. The second biggest is tracking work I have outsourced to other firms. I have this all over the place and it is getting messy. How do you guys track this? Do you just add work to the contact like you would a client?

Tax Return prep and review and how to collaborate with review notes and back and forth

So a tax return comes to my plate to review. I make my notes in the comments section of the Review stage (maybe it should be in the Prep stage?) and I at mention the preparer.If there is notes that need to be cleared. Should I be changing the status back to the preparer?Having some logistics issues for this and making sure the notes are cleared, meaning when the notes are cleared does the preparer just at mention me that it's done?Or do you use an entirely different process?I would guess that what I am missing is that you have a first review stage, than a clear notes stage, and then final review stage.Which would solve the issue Is this how your would do it? For example: PREP Manager Review Clear Review notes Final ReviewAnyone have a solid template for 1065s?

Personal Activity Timeline

Does anyone know if there’s a personal activity timeline in Karbon?I like the time tracking suggestions for my timesheet, but they can be a bit generic. I’m wondering if Karbon has a place for us to look at ALL of our activity during the day, with timestamps? Then I could see in one place all the tasks/work I worked on, notes I posted, comments I made on emails/notes, My Week items moved to Done, etc.Some days I don’t track my whole day as I go, and I have to look back at the end of the day or the next day to create my timesheets.Having to retrace my steps from my sent emails, phone log and calendar doesn’t always cut it. I’m using Karbon so much now, but don’t have enough visibility into what I’ve been doing.If this doesn’t already exist, I’ll make a feature suggestion.

OOO for comments with Clients

Is there a way that when you are out of office on annual leave for example and a client @mentions you/replies to a comment through the portal they can see your OOO response and know that they will not be responded to until you return? You can put an OOO on your emails but this is not reflected with the commenting section. The only thing I have been advised of is @mentioing a colleague in any work or comments before going on leave so they see the reply but this is not an ideal solution.

Duplicate Notification Emails for Client Task Comments

When external comments are added within a Client Request checklist, clients receive duplicate notification emails for every task, rather than a single email per Client Request or Work item. This results in our clients receiving numerous repetitive, generic emails, which is frustrating and negatively impacts their overall experience. Does anyone have any workarounds for this issue?

Who uses soft phones (calling from your computer)?

We use Microsoft Teams to make and take all of our firm calls. I had an idea: what if the phone numbers in Karbon were clickable URLs that opened the default softphone?Would anyone else use this feature?

How do I add my clients contacts to Karbon so I can see who they work with and be able to contact them. For example, the insurance agent, banker, CPA, etc. I want to pull up a client and see all related contacts for them. But I have several cleints who use the same people so I want the contact to be able to be on all records for each client.
