Adding multiple timelines at once

In the Add to Timeline box, I’d like to be able to select multiple work instances and/or contacts before clicking the Add button. I have some contacts with multiple entities, for example, and if an email is about multiple entities, I have to add each one-at-a-time.

changing email subject line

Can you change an email subject line in an email that is responded to in triage? Example client sends email with no subject. When I reply I want to add a proper subject line. Can I change the email subject line?

Best Practices Question: If you have to send a request/question to a client how do you track followup?

Good day, everyone!We previously used Hubspot for our sales CRM (proved to be un-useful for ongoign client operations). It had a cool feature that if you sent a client an email or placed a call, you could schedule a follow up task or reminder to circle back with the client/lead if they failed to respond by X days (it had default 1 and 3 days, but you could select a custom amount). This email would then end up on a that future day’s task list. Additionally if the client/lead replied before then, the email inbox window would show on the right this email conversation has a follow up task, which you could clear right there since you were getting the follow up desired in the reply.For example:Monday send email: Client ABC, it appears the below list of team members have outstanding expense reports due last week. Can you follow up with them and let us know those are complete so we can process month close? I’d then put a follow up reminder 3 days from now if the client hasn’t responded o

Client Manager vs Client Owner

Curious to know how everyone uses the Client Manager vs Client Owner vs Other Colleagues on a client. We put tasks on organizations for bookkeeping and I’ve been assigning the Client Manager as the Bookkeeping Manager on my team. Other colleagues are then the bookkeeping team working on that client. How do you use these fields in your Karbon account?

How do you use Email Templates in Karbon

I’m hoping to get some great ideas on where I should incorporate the “email template” in my workflow. Since not having this feature when I started Karbon 7 mths ago, I’ve made my own work-arounds using “work” and sending client tasks in lieu of sending an email. Can’t wait to see what everyone’s doing!

Dealing with "for later - reading" type of emails in Karbon

We all get various emails with newsletters, blogs etc., things we may want to put “in a pile” and perhaps read once a week, maybe at the end of each day.I want to set up a way to clear these from Triage but have a nice virtual “pile” to go to when I have my reading time scheduled. I would like that “pile” to be in Karbon rather than in Outlook. Anybody has a smart system for this?I know I can add these to my To Do list but I am not loving the To Do list function, I way prefer the Work Kanban view but that would require me turning these emails into “Work” which does not make much sense. I am guessing I could set up a private client “Reading” and add each such email to this client and then check it through the To do list when I am ready.But if anyone has any other process that they love for themselves for this I would love to hear it. Thanks!

Karbon Magazine Article - 3 of the best ways to organise process documentation

I don't know who wrote the article but I really appreciate the ideas in it. I tend to organise and name my Karbon process templates by work-type but have found that there is some confusion and colleagues can't find them quickly. The idea of organising them by frequency of tasks hadn't even occurred to me. How do you guys organise your Karbon templates? Any top tips or suggestions would be much appreciated.

Favorite Work Flow Statuses

We recently added a new work flow status of “Info Received”. We had a lot of clients in the “Waiting for Client” status and noticed that sometimes the information had been received, but the work owner was never notified or they missed the tag. When we receive information from a client that allows the work to continue (especially with tax returns), we change the status to “Info Received”. This allows everyone to see that the item is ready for the next step and we can clearly see it in our work views.I was wondering, what work flow statuses do you have that have been helpful?

Can I assign priority levels to the Work Dashboard? (i.e High, Normal, Low priority levels)

As a first year user, I am trying to understand if I am able to assign something like a High/Normal/Low priority to projects/assignments/tasks so when a client calls in needing immediate attention, the project doesn’t get lost in the entire WIP task list.

Online Faxing

We just switched over to VXT for phone service but it doesn’t include a fax line, I’m sure any of the online fax companies are fine but wanted to make sure there wasn’t any to stay away from? What have you had luck with? We only have one client that uses our fax # but we do still fax documents to IRS when needed.

Add notes to Karbon from your iPhone with the push of a button using speech to text

BackgroundI got a little side project up and running last night. It’s an iPhone shortcut that you can add to Siri or your phone’s home screen. It asks you to dictate a message then adds it to Karbon as a note. You have the option to set the author, assignee, and a few other parameters.Link: Add Karbon note from iPhone shortcut (tap from iPhone)Use caseAfter a client meeting while ideas are fresh, tap this button on the ride home and spill all the details for an assistant or admin to get started right away. Great for between multiple meetings on the same day. We would like clients to submit their requests in writing to our support email so we are able to make sure we get everything done. However, instead of just using the email to track this, I thought creating a workflow template item to manage this and be able to follow up with required information might be VERY helpful to standardize collecting information we need as most items require certain information.Based on the email we can fill in some of the blanks, however, other times we will need to request items and want to keep everything organized and make sure we are resolving these issues/questions.Does anyone already do this or have a template they would be willing to share that like? Giving our staff the ability to work through an issue and document what we know and what we need?My thought is it should be generic enough to cover everything. In one example, a client wants to know how to handle a bounced check in QBO. While sometimes we might just resolve this on behalf of the client, an

COLLEAGUES NEED TO BE ABLE TO EDIT A NOTE I PINNED TO AN ORGANIZATION

In the past we used an excel spreadsheet to add specific notes to each clients file. Ex cc numbers, things that need to be referenced regularily, this could be updated my anyone in the company if any changes were made or needed to be noted. Each client had their own tab for these notes.I copied all these notes from out “TASK by CLIENT” sheet and pinned them so they are seen immediately if an organization is opened.However we have noticed if I created the note, no one else can add to it. Any help would be appreciated and steps on how to do it. thanks in advance!
