Modifying information in Contacts

Is there a way to customize the information on an organization contact. I would like to add information such as whether the client is cash basis or accrual basis, etc.

Office 365 contact sync

I noted that Karbon can import office 365 contact. Before I try it, anyone has the experience of the contact syncing from office 365 for following questions?If I hit the button, will current existing contact in Karbon lost or replaced by the imported office 365 cotact? Or the imported office 365 contact will be added as additional contact? Is it possible to double-way syncing contact with office 365? ie, if I update any details of the contact or add a new contact in Karbon, it will be synced back to office 365?

Year-End Processes

Since a lot of us are solidly in the middle of getting year-end tasks done by the end of January, I was wondering if anyone has any solid processes or tasks that are helpful in efficiently getting the year wrapped up for clients. Karbon does have some good templates for this, but am looking more for any unique tips and tricks that work well for your particular firm. Maybe something that none of us have thought about or considered?

MyWeek failure

I have been trying to implement My Week after successfully using To Do for some time. All I have managed to do is create a secondary Triage of emails that are in no order, not time, not name, not job, not anything in My Week and I have become quite disorganised again. Any tips?

Exporting organizations with contact details

I’m currently exporting out the contact the list for the organizations. The export does not include all of the “contact detail” included in the organization’s detail tab.Unless I’m missing something all of the other contact information (ie address) exports. The only field not exporting is the email. Is anyone able to export emails for the organization contact only. thank you

Karbon Email Signature

I was trying to add an email signature in Karbon with some images on it to make the signature fancy and look more professional. However, I noticed that some of our clients whenever they are receiving my email, most of the images on the signature are not showing or even just a box with no image on it. I also find it complicated to paste or create a graphical email signature in Karbon compare to Outlook. Anyone who has a workaround or having the same issues?

Task not updating

We have a template in which we created (modified the 1040 template) a user (Invoicer) to be notified when invoices should be sent. The Inovicer completes the task but the task is not being marked complete in the template. What are we missing in the setup?

Copy from a Template?

Would anyone else find it useful to be able to copy a section of a template to work items. This would be so helpful when updating existing work items. I put in a feature request for this. If you think this would be useful, please make a request as well. Requests can be submitted by going to Help and Feedback and choosing this.

Tasks due BEFORE the work start date

Has anyone been able to effectively use the #of day before work start date effectively when creating tasks? We find that the task does not show up in the To do list or now My Week until the Work Order start date. The task is overdue when the assignee actually gets notice of it. Is it me? What I am doing wrong? It seems like a great feature, a reminder to get something set up so the work is ready to go on the start day. A recent example is onboarding a new employee, there are some tasks to be completed by HR before the employees start date but the work order is set to be assigned to the receiving team on the start date, and it would be good for the receiving team to know that those tasks are complete. Our work around has been separate work orders but we muddy visibility.

Work Assignee

How do others tackle overall work assignee’s when it’s a long project and there’s multiple people involved?. Our Annual Financial Statements work can last up to 9 months and involve 4 different people, in different roles (Accountant, Client Manager, Partner & Admin). Currently we assign the overall work to the Client Manager. However, that means that lots of stuff appears in their My Week, when they don’t actually have to do any tasks on that project until it is already substantially started (Admin & Accountant take care of everything up to work review stage) I have seen on a webinar the use of dummy team members, using fake email addresses, and wondered if that was a solution. When looking back, I can’t find the webinar now...I think it was something mentioned in a Sara/ Andii webinar. Anyone use this facility or can point me in the right direction, please?

Effect of entering new client tasks after initial email sent.

Hi all. So I’ve setup a client task, sent the email to the the client requesting information and then noticed a further query. I’ve now updated the client task with the new item. Do I need to resend the email or will the client see the new task automatically? TIA

new API's to connect time in Karbon with other cloud apps

We are currently using a cloud-based ERP solution to manage our time sheets, but would like to use Karbon instead to manage time sheets. however there seems to be no API allowing us to perform such operation. Can you please let me know when you plan to develop further API’s to allow greater automation with other apps.Thank youChristian

Colleague Utilization - Exporting Time

Does anyone know if there is a way to export the Colleague Utilization information such that time is exported in hours, like how it is visible in Karbon? When we export, all the time is in minutes… And my brain doesn’t work in minutes past 90 minutes - lol. vs exported:

Checklist communication with client after it closes

Is there any way to stop the client task list Karbon portal from closing until the whole work item is complete?We often have a long turnaround time for the work we do, so the client task list is completed and we might get to the work itself 2 months later.We have found when we have asked questions or requested further information on a particular item as comments within the checklist, and the client gets a notification, but the checklist is closed.Other than sending the whole checklist again, is there a way to stop the checklist from closing until the whole work item is marked as complete?thanks!

Disassociate an organization with a person

We have a married client who got divorced. We originally set them up individually in Karbon and then associated them with an organization, i.e., individually: James Smith Jane Smith Organization: Smith, James and Jane. The work was associated with the organization for the couple.Now that they are divorced we will still complete their individual returns. I made the organization inactive and removed it from the individual records. However, when I look up Jane Smith the organization still appears in parentheses next to her name. I thought that removing the association in her individual record would eliminate it so I was surprised to see it.Any ideas on how to remove this association, assuming it can be removed?

Emails copied or shared with colleagues automatically

We are considering a team member change for a client that we do extensive bookkeeping work for. We often assign some facets of the work to interns or junior staff and rotate that work so that they get new client experiences. That said we don’t particularly want our client to be aware that another junior staff or intern is doing their work! The client emails the currently assigned junior staff with task information, etc. How do we best use client teams or any other karbon features that would automatically assign emails from this client so that the new intern assigned as well as other team members working with this client will get information needed to do the bookkeeping work? Does the team member that is the email recipient get the email in his triage and then tags it to the work and that is how the other team members get notification of the email? Or is there a setting that would put all emails from that client in the triage of all team members?I am new to karbon and still learni

Any effective tips for pausing triage?

I’ve turned my triage notifications off, which is great! However, any time I use the navigation bar, it shows me an updated total of how many unread items are waiting for me in Triage. This pulls me back in to Triage when I should be focusing on work. Any tips for avoiding this? Or is there a way to stop the navigation bar Triage counter from showing?One potential solution I’m going to try is to just close the navigation bar, and save browser bookmarks so I can navigate that way in Karbon to different modules so I don’t have to open the navigation bar back up.

Automated emails to clients if extension is required

I’m looking for a way to send an automated email to client IF an extension is required for planned work.The work would start on 1/1 with a planned as work status. i would like to have the client emailed after a certain number of day if the work status is still has a work status of planned. Is this possible?
