Client Request E-mail not sending

Yesterday 2 of my client request e-mails did not send out, has anyone else had this issue?

Copying and Pasting into emails

Sometimes I cut and paste items to include in an email to a client. Anytime I do this through Karbon, the snippet always looks massive and I can’t resize it. Are there any tips to improving this?

Date range for insights

Can Karbon add the date range to any date range like what we can select in utilisation report in Karbon?Currently, we only has month to month for last 6 months, but if we do the performance tracking on a half-year or annual period, we to manual add up and calculate. This should be a simple thing for Karbon to improve.Thanks,Mike

Client tasks - notifications

Hi AllWith Client Tasks - we send out annual questions to clients for preparation of their financial statements and tax returns. We have a Client Task section with individual tasks for responses, download/upload files etc.The Assignee for the Work is the Accountant. But we send the Client Tasks from me (Practice Manager)When the client responds to each individual task both myself and the accountant get triage notifications. This morning each of us has 10+ notifications in triage for this one client/work item. Hugely distracting.Would be better if only one person got the notifications (either assignee or sender, not both) and maybe to have option to choose which person for each client task section?   Would be even better if we didn’t get notifications on each individual task within the section, but a summary or daily update on the client task section overall (i.e. if client has updated a task during a 24 hour period, then the daily notification shows what has changed on that task or tas

Clearing down low priority on mass

Loving the low priority feature and it keeping a lot of the junk out of my mailbox.. I am working on clearing this weekly however it still takes me quiet a bit of time. One thing that would be helpful and I am not sure whether this is possible would be to change the way items are sorted i.e. like you can in regular outlook, I would benefit hugely by sorting these by sender so that I can clear all similar items at the same time.. Wondering like I say if this is possible or how everyone else is using the low priority?

Moving work backwards in a template

Is it possible to move the work backwards in a template? We are a tax firm and sometimes when it gets to the preparer they discover they need one more document and instead of having the work sit at them while they wait for the client to respond ( which could be weeks ) they would like to move it to me so I can reach out to the client, but we can’t move it backwards without having to reset the automators .Has anyone figured out a way to do this or suggestions on how we can fix our problem?

CRM Associated Contacts

Is there a way to link associated contacts? At present, the only thing I can see is to add a “person” to an “organization”. Many times, the associated contact does not work for the organization. They may be a lawyer, a wealth manager, a referral source, a gardener…  I’ve been adding my clients name to the notes section of each associated contact hoping “that” would at least help me refine search results. Even that doesnt work.  Can we add a section for “associated contacts” in the details page? Can we make it easy to attach contacts together that work for different organizations? CRM basics when dealing with thousands of contacts… How do I know this person ? When did I meet them? Who are they associated with?  Thanks!

Is there an issue with the Topic type filter > Idea on the Karbon Community?

It says there are 31 Discussions (results) returned from my search.But when I scroll down I can’t see any Ideas.And if I filter by Ideas, it says there are 11 and doesn’t show any of them…

My Week and Working on Now

Our team has noticed that work items that they have opened are appearing in the Working on Now section automatically. It was my understanding that user has to move items into and out of this section according to their own work flow.  Has this happened for anyone else?

BCC disabling functions

If I am BCC’d in an email I cannot ‘plan for this week’ or add to any timelines.Is there a way to get rid of this feature?We often BCC other staff in emails to clients as an FYI and there may be action items in there for them and they cannot do anything with the email.

Downloading a Sage file

I have received feedback from one of my accountants that when a client sends a Sage file (comes through as .ptb file type), the file must be opened to download and they can’t open it with Karbon. This is forcing them back into Gmail to get the download. Has anyone else encountered this or have a work around?

Security over client tasks

Any ideas when client tasks will be made secure agian?The “magic link” is magic for anyone who has hacked into a client’s email account and wants unfetted access to the contents of a list.  They can magically open and see any sensitive information we send them and see anything typed into the fields by a client that has not yet been completed.At least the old PIN system provided some protection.As far as I can see at the moment, we can no longer ask clients for sensitive information through the client tasks functions.I’d love to hear that I’m wrong.

Work View - Get rid of "Also working on"?

Hi all, new to Karbon (our firm is going through an implementation stage at present).I have set up a work view (Kanban style) and have each column headed with the assignee. In each assignee’s column, they have occurances of “also working on” showing steps allocated to other staff members but this assignee will be or has been involved in work at some point. My question is, can we switch this off and make the “Also working on” entries disappear?

Email Merge Field

HelloI'm new to Karbon and looking to set up email templates to use in workflows.I would like to use merge fields to personal the emails and the information included but I am failing miserably.I found an article Karbon Merge Fields for Templates | Karbon Help (karbonhq.com) but I can’t work out how to insert a field.I would appreciate it if someone could give me some tips.Thanks!

How many Work Statuses (Sub-statuses) do you have?

We have…Planned: 3 sub-statusesReady to Start: 1 sub-statusesIn Progress: 7 sub-statusesWaiting: 8 sub-statusesCompleted: 2 sub-statusesTotal - 21 sub-statuses4 of these are very unique, relate to Sales Work Type only.Our Annual Compliance/Tax Return Work Types use almost all of these, and then other types of work use only a few.Sometimes I want to add more but wonder if that’s doing us a disservice, it also makes filtering difficult.How many do you do? (AU/NZ Weetbix reference)

Open in Lacerte

On the contact detail page under the heading "Lacerte Tax Client" there is a blue "Open in Lacerte" that looks like a link. However when I click on it nothing happens. Is this just informational and not a link?

Virtual Assistant with Karbon Experience?

We are struggling to find good admin staff locally and the Karbon learning curve doesn’t help. Has anyone used a virtual assistant with Karbon experience?  Any idea where to find such a person? I envision someone that knows Karbon through and through, who could work remotely for one or multiple firms, managing the day-to-day flow of information and work. I’d love referrals if anyone knows this person!

Delete Documents Permanently

Is it possible to permanently delete documents from within Karbon? If not, does Karbon have a document retention policy available for review to determine if it is in agreement with our own?Karbon allows Archiving of documents which is referred to as “Delete” with archive in parenthesis after it in the help files. Then there is the functionality to Unarchive a “deleted” document which would indicate deleted documents are not actually deleted.I have tried searching for answers through the Community and Karbon help. If someone has a link to a conversation regarding my question, I would love to have it added.

Online Faxing

We just switched over to VXT for phone service but it doesn’t include a fax line, I’m sure any of the online fax companies are fine but wanted to make sure there wasn’t any to stay away from? What have you had luck with? We only have one client that uses our fax # but we do still fax documents to IRS when needed.

TimeKeeping Approvals

Hi - I was hoping that approving individual days for timekeeping was possible. Our Payroll periods end on the 10th and the 25th. Looks like we can only approve by the week. Anyone have a work around for this? Thanks!

Hi Karbon Community, I would love to hear how others are using the assignments tab? I am finding useless without the ability to at least sort by date (would like other sorting as well) . But a lot ends up in there.  How are you using it and keeping it clean?

How to best use "thumbs up"

I noticed that when someone “thumbs up” a comment it does not notify me of the numbs up in my triage. This seems unhelpful as I would have to go back and look for the thumbs up to view the acknowledgement. How are others utilizing the “thumbs up”?
