Does the Time and Budget feature only work if you are connected to QuickBooks Time?
In reading some of the Time and Budget posts, it seems that some firms are using the Time and Budget feature and they are not connected to QuickBooks Time. I don’t know that for a fact but that is the impression I get. Is that possible?I initially started the setup for the integration but never completed it. When I go to disconnect the sync I get a message that I will no longer be able to track time in Karbon. My thinking was to get more comfortable with the Time and Budget features before turning on the integration.I would appreciate any clarification on this. Thanks all!
Change repeating work's start date - is it possible?
Hi Karbon Community!I had a weekly bookkeeping client setup to start on Tuesday and to be due on Friday, but I just want it to start and be due on Friday.Is there a way to update the repeating schedule without deleting and starting over?I thought I could change the start and due dates of a work item and the repeater would take over from there, but that hasn’t happened.Does anyone have experience with this? The help articles and community topics mostly deal with setting up recurring work for the first time. -- Edit --Alternative answer from @LD7E:An add on to this option if there are a lot of recurring work items that need to be deleted. Set an end date on the current repeating work item that is a day or more before the next work item that has already been created. Once you save this it will automatically delete all future work items. Then you can go in and change the work start date of the last work item completed to the new day of the week you want the work to start and create the new
Esign v Client Task
Hi all,We’ve recently signed up to Karbon and are getting into setting up our processes in the appWe currently send out documents, such as VAT returns via E-Sign software and are considering whether to continue with that approach or switch to sending the VAT return out as a Client Task, to be ticked when approved.E-Sign feels to have more of an audit trail and legality behind approval, whereas Client Tasks feels to be making the process easierAnyone been through the same though process?
More Control of normal user's access
Dear peers, I would like to understand your practice and logic of Karbon in managing access of the users to some certain change in key job management information.Facts:work assignee do not have experiences and authority to decide the start date and due date of a work. In my firm, manager decide who work on which work, and in what time frame.However, in Karbon, all users are able to change everything in a work setting, budget, fee, declines, starting date. It is becoming messy and lack of control/supervision and we cannot measure the result (say deadline meeting status) for each staff, since it is just one click for them to move the deadline or other information. I would like to understand how other peer firm is monitoring and controlling this? What is Karbon’s management logic behind this? I understand Karbon may encourage open and transparent work culture. But without saying dishonesty of team member, junior team member normally only does the work and have basic technical skills, but
Documents in karbon that are live
Hi, we are a new user, still working on our configuration and learning. We had in mind that we could attach a live document to a work item. But, I am now realizing that any time we want to update the document (like adding this week's payroll to an annual based payroll workpaper file) we would have to download the document, update it and then upload the changed file back. So, it seems that karbon is not meant to work efficiently with live documents. Am I missing something? I hope I am stating my concern clearly and apologize if not. For example, as we are doing payroll work, in our current system we would have a payroll prep workpaper pdf file. Each time we prepared payroll we would add bookmarks and the next payroll prep workpapers to this same pdf document. Now it seems we would not so efficiently be updating the workpaper pdf file, if it is stored in karbon. How to have oversight of all work for a given client (Including notes and emails)
Our team has posed the question, whether we should use a basic ‘ad hoc’ work assignment template, instead of assigning emails and notes as tasks. This is in the context of small ad hoc tasks that come through from clients, for example if a client calls and asks for details from their accounts.If I receive that call, I will usually create a note, and then assign this to a team member to action. The question is whether we should use a ad hoc work assignment template instead, which has a basic action stage, and then review stage for whoever assigned the work.This would then show all client work and tasks, in one easy to identify place, being the client’s work screen, and would also mean that the person setting the task will automatically receive a task to review the work once it has been actioned.Any thoughts on whether this would be worthwhile trialing or implementing, or whether we are going against the way Karbon intend for us to use the software?
Anyone using the API?
Hi All,I’m starting to dig into the API a bit and am having some trouble getting it off the ground. I’m a beginner, but a quick learner and I feel like I’m missing a small piece.What I want to do is refresh my work list in an Excel document so I don’t have to keep exporting reports from Karbon for my capacity planning. I think I’m missing an important step in how Karbon authenticates the connection.Here’s what I have for my query in Excel:And here’s the error I’m getting:I’ve tried a couple different things with no difference. I don’t want to hard-code the API Key to the query, but I’ll try that next to see if it works.I did notice that when you use the copy function from the website, it pre/appends spaces to the string. I removed both spaces and it still won’t authenticate.
Emails copied or shared with colleagues automatically
We are considering a team member change for a client that we do extensive bookkeeping work for. We often assign some facets of the work to interns or junior staff and rotate that work so that they get new client experiences. That said we don’t particularly want our client to be aware that another junior staff or intern is doing their work! The client emails the currently assigned junior staff with task information, etc. How do we best use client teams or any other karbon features that would automatically assign emails from this client so that the new intern assigned as well as other team members working with this client will get information needed to do the bookkeeping work? Does the team member that is the email recipient get the email in his triage and then tags it to the work and that is how the other team members get notification of the email? Or is there a setting that would put all emails from that client in the triage of all team members?I am new to karbon and still learni
Any effective tips for pausing triage?
I’ve turned my triage notifications off, which is great! However, any time I use the navigation bar, it shows me an updated total of how many unread items are waiting for me in Triage. This pulls me back in to Triage when I should be focusing on work. Any tips for avoiding this? Or is there a way to stop the navigation bar Triage counter from showing?One potential solution I’m going to try is to just close the navigation bar, and save browser bookmarks so I can navigate that way in Karbon to different modules so I don’t have to open the navigation bar back up.
Sending one off emails
Looking for a solution to email clients for reasons not part of a workflow. i run into situations that i need to notify clients for some reason or another. Most of the time is wrapped around a work type. An example would be that need to email payroll clients in New York about upcoming min wage increase. Right now I’m exporting the entire contact list and workflow separately. i then i use a formula to match the client code in both files to pulling the email address. The process always takes me about a hour to send an email.
Adding multiple e-mail addresses to an email
I am sending a bulk email to a group of clients. I am sending the email to myself and the bcc’ing the group of clients. I have the list of emails in a document. In Gmail, I used to just copy and paste the emails and wa-la, they are all added. But I can’t copy and paste in Karbon.Does anyone know of a way to do this?Thanks in advance. Maria
Un-billable time tracking
Hi all,Just a quick query on how people track un-billable non-client related time within Karbon. With the advent of staff working from home due to COVID mandates in our area I’m keen to track all work undertaken by staff, not just the billable elements and not just those related to specific client work (billable or otherwise). Any suggestions as to how this is handled that would be greatly appreciated.
Workflow template - when there are multiple linear processes (two or more outcomes)
How would you handle a template that offers more than one possible outcome? For example, if we have a 1099 work item and in the early stages we either determine no 1099s are required or the client tells us there are none required, how do we define the tasks? In such a case, we want the conclusions and workpapers of the staff member to be reviewed before the project is completed. In this case I would not want the next section, “Prepare 1099s,” to be triggered. But I do want the work item to be documented in karbon. We also prepare 1040s for a client that sends us their clients’ returns, several of whom do not have to file, but we make that determination as a part of our service to them. This would be a similar case. I’m new to Karbon and this is challenging!In summary, the early steps of the work item follow one path, but then depending on whether or not the returns are required to be filed it can go one of two ways.Thanks to anyone who can help!

Hi guys,It’d be great to hear your personal experiences. Especially when it comes to Monthly recurring work which includes a number of tasks to be completed, sometimes To Do lists can become quite chunky (although can be cleared very quickly and easily usually).
