I noted that Karbon can import office 365 contact. Before I try it, anyone has the experience of the contact syncing from office 365 for following questions?If I hit the button, will current existing contact in Karbon lost or replaced by the imported office 365 cotact? Or the imported office 365 contact will be added as additional contact? Is it possible to double-way syncing contact with office 365? ie, if I update any details of the contact or add a new contact in Karbon, it will be synced back to office 365?
Since a lot of us are solidly in the middle of getting year-end tasks done by the end of January, I was wondering if anyone has any solid processes or tasks that are helpful in efficiently getting the year wrapped up for clients. Karbon does have some good templates for this, but am looking more for any unique tips and tricks that work well for your particular firm. Maybe something that none of us have thought about or considered?
If you use timesheets to track time, what is more important to you?The $ amount of the Budget vs Actual or the Hours amount of the Budget vs Actual.If you don’t use $ or Rates, do you still have Roles? (So you wouldn’t want the Partner spending an hour on Work that they’d usually only spend 5 mins on, even if the Junior was underbudget by 55 mins)
Hi,I was wondering if there is a way of changing the timesheet periods in Karbon so they line up with our payroll periods? At present the system shows the current period Jan 10 - Jan16 2022 but I would rather have the period commence for the current period today 13 Jan to coincide with our payroll period.
I’m currently exporting out the contact the list for the organizations. The export does not include all of the “contact detail” included in the organization’s detail tab.Unless I’m missing something all of the other contact information (ie address) exports. The only field not exporting is the email. Is anyone able to export emails for the organization contact only. thank you
I was wondering if anyone uses work items as a holding place for notes/emails at all. No real tasks assigned to this area, but a repository for conversations/information. Easily searchable notes/emails within the team. or for other things...welcome any thoughts on this or current best practices and ideas. Thanks!
Has anyone been able to effectively use the #of day before work start date effectively when creating tasks? We find that the task does not show up in the To do list or now My Week until the Work Order start date. The task is overdue when the assignee actually gets notice of it. Is it me? What I am doing wrong? It seems like a great feature, a reminder to get something set up so the work is ready to go on the start day. A recent example is onboarding a new employee, there are some tasks to be completed by HR before the employees start date but the work order is set to be assigned to the receiving team on the start date, and it would be good for the receiving team to know that those tasks are complete. Our work around has been separate work orders but we muddy visibility.
Would anyone else find it useful to be able to copy a section of a template to work items. This would be so helpful when updating existing work items. I put in a feature request for this. If you think this would be useful, please make a request as well. Requests can be submitted by going to Help and Feedback and choosing this.
Best practice advice please… I’m fairly new to Karbon and looking for tips to better organize. For recurring work like month end close or biweekly payroll, is it better to create a “work” template for each of these and have them repeat or create one “work” template with 12 (or 24) tasks within that have monthly/ biweekly due dates for each task? Which way is easier to manage?
We use whatsapp with our clients at log... how do others keep track of text message etc communication with clietns?
A lot of our clients respond 100% better when we use an instant messaging app like whats app… my concern is a lot of communication is not being captured agains the client/jobs in Karbon. Does anyone have a good way to resolve this?
Hi all! I wonder how all of you are managing to pull hours out of Karbon to use for payroll? We use Gusto, and pay hourly, so the hours that we would have in Karbon would need to be used to feed payroll. Can you share your process or any best practices that would help us figure out the best path forward? It would have to include “non billable” time that is not connected to a client. Thanks!
How do others tackle overall work assignee’s when it’s a long project and there’s multiple people involved?. Our Annual Financial Statements work can last up to 9 months and involve 4 different people, in different roles (Accountant, Client Manager, Partner & Admin). Currently we assign the overall work to the Client Manager. However, that means that lots of stuff appears in their My Week, when they don’t actually have to do any tasks on that project until it is already substantially started (Admin & Accountant take care of everything up to work review stage) I have seen on a webinar the use of dummy team members, using fake email addresses, and wondered if that was a solution. When looking back, I can’t find the webinar now...I think it was something mentioned in a Sara/ Andii webinar. Anyone use this facility or can point me in the right direction, please?
How would you handle a template that offers more than one possible outcome? For example, if we have a 1099 work item and in the early stages we either determine no 1099s are required or the client tells us there are none required, how do we define the tasks? In such a case, we want the conclusions and workpapers of the staff member to be reviewed before the project is completed. In this case I would not want the next section, “Prepare 1099s,” to be triggered. But I do want the work item to be documented in karbon. We also prepare 1040s for a client that sends us their clients’ returns, several of whom do not have to file, but we make that determination as a part of our service to them. This would be a similar case. I’m new to Karbon and this is challenging!In summary, the early steps of the work item follow one path, but then depending on whether or not the returns are required to be filed it can go one of two ways.Thanks to anyone who can help!
Is it possible to add a placeholder (like <%client_name>) in a work template, so that when you assign work it automatically adds the placeholder to the work name? Example: Template Name: 1040 Individual Return <%client_name> Once work is assigned it becomes: 1040 Individual Return John Doe
Hi all,Just a quick query on how people track un-billable non-client related time within Karbon. With the advent of staff working from home due to COVID mandates in our area I’m keen to track all work undertaken by staff, not just the billable elements and not just those related to specific client work (billable or otherwise). Any suggestions as to how this is handled that would be greatly appreciated.

Hello everyone,New here :) Our firm is currently using Practice Ignition to import clients once they have signed their proposal. The issue we constantly have is emails sitting in our triage from clients who have not signed on with us yet, therefore there is no client in Karbon to attach them to yet. We could create one ahead of time, but I think Karbon would double up on contacts if we do that.Wondering if anyone has any solution to this so they don’t just have emails sitting in their triage that need to be added to a work or contact.Help would be much appreciated or any advice. Thanks!
