Best Practice for Seasonal Employees

Situation: Seasonal tax preparer(s) who return each year should retain their assigned work/tasks for the clients/work assigned after restoring the seasonal employee from Archived status.When Archiving a User, the archived user has all of their tasks/work reassigned to another user in bulk and also would not retain their tasks/work for new annual work when it recurs in the subsequent year. My thought would be to create a Temporary User with a Dummy email which we could then assign all of the Archived Users tasks/work to. This would be a placeholder. Once the seasonal employee comes back we could then Archive the Temporary User, assigning all of the work back to the Seasonal employee.This would be done so we are not incurring a licensing fee for the seasonal employee and we do not have to then go back into each work item to reassign tasks/work each year.In Andi A’s Best Practice Tip she indicates as long as the Temporary User does not accept the invitation we would not be charged for the

Email threads in "My Week"

Hi,I see that if I put an email into “My Week”, further conversation in the email is not automatically added.Why is it like this? And Is there a way to get around this and make sure that the thread is being added into “My Week”?Thank you

Report summarizing over/under budget work, by colleague?

Hi all, I’m trying to review some team members’ productivity on tax returns. I’d like a report summarizing, for a given period:Team member Work completed Time budget Actual time I tried doing this using the Completed work filter. This doesnt work because ultimately all tax returns get assigned back to the admin team for signing and filing, so when they go into completed status they’re no longer assigned to the preparer. Am I missing how to do this?

Workflow template - when there are multiple linear processes (two or more outcomes)

How would you handle a template that offers more than one possible outcome?  For example, if we have a 1099 work item and in the early stages we either determine no 1099s are required or the client tells us there are none required, how do we define the tasks?  In such a case, we want the conclusions and workpapers of the staff member to be reviewed before the project is completed.  In this case I would not want the next section, “Prepare 1099s,” to be triggered.  But I do want the work item to be documented in karbon. We also prepare 1040s for a client that sends us their clients’ returns, several of whom do not have to file, but we make that determination as a part of our service to them. This would be a similar case. I’m new to Karbon and this is challenging!In summary, the early steps of the work item follow one path, but then depending on whether or not the returns are required to be filed it can go one of two ways.Thanks to anyone who can help!

Managing/Tracking internal compliance of Karbon features

I’m looking for some suggestions about tracking internal Karbon usage. I am discussing with my Karbon CS rep too, but I thought I’d crowdsource some other ideas! ContextWe’ve spent a lot of time recently documenting how we use Karbon and our internal best practices/expectations, and this month everyone in the firm is completing our own Karbon training. As part of this, we want to be able to track and follow up with team members who are struggling to meet our targets.We don’t currently use Email Insights or Intelligence, so I’m hoping to also get some feedback from those who are using it that would help me build a business case if need be. KPIs I’m hoping to track!Triage (these are available in Insights I believe - what (if any) details can be exported? Is this available in the API to push into a spreadsheet?)Volume of email in Triage ​​​​​​​Ideally the amount at EOD for each user, and then a daily EOD average across the month ​​​​​​​Average days notifications are in Triage in a calend

My Week vs To Do - which do you use when?

I’m finding our team has not adopted the My Week feature at all, and likely because we haven’t done a great job rolling it out. We just got everyone used to the “To Do” list 6 months ago so a couple of questions:How have you transitioned your firm to using My Week instead of To-Do, or do you use both? If both, what scenarios do use each one for? Are there resources that explain when to use To-Do vs My Week?  Thanks in advance. @Eshah17 FYI

Better to repeat work monhtly or have 12 monthly tasks?

Best practice advice please… I’m fairly new to Karbon and looking for tips to better organize. For recurring work like month end close or biweekly payroll, is it better to create a “work” template for each of these and have them repeat or create one “work” template with 12 (or 24) tasks within that have monthly/ biweekly due dates for each task? Which way is easier to manage?

Editing Repating Work Items

If i create a work item using a template, customise the tasks to fit my clients needs & then create a repeating schedule, what happens if I need to update tasks etc within this work item?  Example, if  a process changes, how do i edit the work item and ensure the updated details are carried forward on each work item within the repeated schedule?

Workflow & to-do date & status automation

Hi all!!! This is a two part questionI know that you can automate a workflow to set a due date and status, is there a way to automate the To-do date of a section/task in a workflow? To give you and example of what I want to achieve - there is a section in a monthly workflow that is assigned to a colleague - I only want this section to show in my colleagues To-do on the 29th of the month, and change the status of the tasks in this section to “in-progress” at the same time, using automators. I have a couple of monthly clients and their workflows start on the first of the month, but have approximately 10 - 15 tasks each - so you can imagine what my To-do list looks like on the 1st of every month. again - is there a way to automate the to-do date of a task in a workflow. If not - have you encountered the same issue, how have you negated it - apart from moving 300+ tasks to the desired To-do date on a monthly basis?
