Save Triage items for ‘Later’

Action emails and notifications when you’re ready, without cluttering your My Week. Move them to a new section of your Triage called 'Later’, so you can reach Triage Zero faster. Work on what matters, when it matters to you.

You can move emails and any Triage item into Later, including:

  • Notes
  • Work assignment notifications
  • Task notifications
  • Client Request notifications

Unlike your Low Priority folder, adding items to Later is done on a case-by-case basis, specifically because you need to action them some time in the future.

Moving items into Later is also available in the Karbon mobile app. Make sure your mobile app is running on the latest version (5.6) to access this feature. Remember to log out and then log back in to activate the update. 

 

Enhanced user permissions

Strengthen your data security with enhanced user permissions, giving you more control over who can create, edit and delete work. This helps avoid unauthorized use, accidental changes, and data inconsistencies across different systems.

To customize Work permissions, Admins can set them up for individual users in Settings > Colleagues > choose a colleague > Permissions > Edit. From there, you can control who can change the status of any task or work regardless of whether it's assigned to them, edit work details including due dates, tasks and assignments, and who can create or delete work items.

Restrict roles for time entries

To prevent billing errors and reduce the need for later corrections, an additional setting has been added to Time and Budgets. Firms can now limit users to only record time against roles allocated to their profiles. For instance, junior staff with lower rates won't accidentally choose roles with higher rates. 

Admins can set this for the entire firm in Settings > Time and Budgets > Time Tracking > Roles for Time Entry.

Merge Contacts (beta)

Take charge of duplicate contacts to ensure information stays organized and accurate. Identify duplicate contacts and combine contact details, work, and timelines into one record. 

To merge contacts with similar names and email addresses, navigate to a contact, click on the three dots, and choose merge duplicates. From there follow the steps to complete the merging process. Bill by Colleague Rate (beta)

Billing efficiently is a vital part of your workflow. Having the flexibility to bill by a staff member eliminates the need for workarounds, allowing you to work the way you need to.

Admins with permission to view all amounts, can add a colleague’s billable rate in Settings > Colleagues by clicking on the colleague name. On the profile page, you can then specify a dollar amount under Billing Rates. To learn more, read the step-by-step guide.

Control Budget by Amount (beta)

Stay in control of your budget and decide whether the budgeted time or the budgeted amount is a priority for your firm. This level of flexibility enables you to stay firmly on track, even when rates undergo changes.

Previously, budget control was based on time. If your billable rate on a task changed, your budgeted hours would remain fixed, and the total cost of the task would change accordingly.  

Now, you can choose whether you’d like to control your budget by time or amount. Admins can select this option in Settings > Time & Budgets > Budgets > Budget Estimates. When you choose to control the budget by amount, even if the billable rate changes on a task, the total budget for  the project will remain the same because the budgeted time will automatically adjust.  To learn more, read the step-by-step guide.

Client Team custom fields (beta)

Accurately represent the various client team responsibilities within your firm’s organizational structure to efficiently filter and oversee work related to specific clients.

With the addition of two new custom fields, alongside Client Owner and Client Manager in Settings > Contact Settings > Client Team, admins have the ability to assign these to specific positions to suit your firm’s needs, such as Tax Managers, Directors, and/or Financial Controllers. This way, they can have a view of work items, even if they’re not directly responsible for that work.

To update individual contacts and include these new custom positions, go to Contact > Details > Client Team. Once this is done, you can easily filter work items on the Work List and Kanban view to allow you to focus on work items that are directly relevant to each position. I have to ask why the option for ‘Later’ was built instead of better integration with My week.  It is great to have this option especially from the mobile app but when the best practice approach is to manage items in My week I would have loved to see an option to add to My week from the app and options from cloud triage to ‘later’ bucket in My week rather than only ‘this week’.  I have been told these are coming so hopefully this is just the start of some more user friendly updates!

We have had feedback from users that My Week isn’t the ideal place to manage emails that aren’t urgent but that they are adding them to My Week because they just need them out of Triage but don’t want to forget about them. For some users, having lots of emails in My Week has made it difficult to manage. 

The intention of Later is to address this pain point by having a space for emails (and all triage items) that you want to come back to a bit later but don’t necessarily want to plan for a specific time and date. For example, I like to put non-urgent items into Later to look at on a specific time and day I block out. 

We will still build the ability to add an email and note to a specific week in My Week. However, with Later, you have another option for emails that don’t require planning.

I want to limit access to due date changes and work status = complete. However jr team members needs to be able to update work tasks (remember a new bank account for next month and future months), assign the work item to their reviewer and update work item status to review. At the same time time i want to limit jr team members ability to change due dates or mark work items completed (by accident and then we loose control over our obligations).

I like the Later option for emails and will try it now! If I can’t deal with an email right away I’ve been putting it into “To Do” but that takes a few steps.  This way I can either respond right away or later when it’s more convenient for me.


As someone who can’t use My Week because it doesn’t work for my brain, I love the idea of the Later option! That’s basically how I use Triage at the moment - I clear what I either don’t need or have taken care of, and leave what I still need to address. So effectively, my Triage has been my working to do list for years. 


Please please please have the “Create” and “Delete” work authorities as separate options.

The permission enhancements introduces three permissions that allow you to control who can:

  • Change status of any task or work (without this permission they can still change status of tasks and work that are assigned to them)
  • Edit work (without this permission they cannot reassign, edit due dates, add, remove or edit tasks, budgets etc)
  • Create and delete work

We don't have the granularity of permissions required to achieve some of the use case you described.

Editing tasks requires the “Edit work” permission which would also allow them to edit the due date. If someone without the “Edit work” permission needs a task edited (eg add a bank account as you said) they can only comment on the tasks so would need to ask someone with the “Edit work” permission to update the task details for them. 

If you don't want a junior member to be able to mark work as complete you would need to only assign them the tasks within the work item, not assign them the entire work item itself. Users can only change the status of work and tasks they are assigned unless they have the “Change status of any task or work” permission.

The rest can be solved with Automators rather than granting extra permissions. You can use Automators to automatically reassign the work and update the status once the junior member has completed their tasks.

@LD7E agree! We need everyone to be able to create work as we use Karbon as an internal ticketing/request tool as well, but would want to restrict work deletion. I’d even go so far as being able to limit what TYPES of work someone can create would be more helpful! That would help with some of our hygiene issues where the wrong work type (or no type) is chosen.


I love the later function! So much better than having the emails in My week.
