Earlier, I co-hosted an introductory webinar, specifically for our customers, about Karbon’s new document management release! 

We covered:

  • How to connect your Document Management Systems to Karbon, using Dropbox as an example (OneDrive, SmartVault and other DMS integrations are coming soon)
    How Karbon can automate your file organization and backups|
  • How to copy work data from Karbon, including emails, notes, and client tasks, to keep everything in sync with your DMS

Have a question with this.

If we say have completed a work. And we choose to “disconnect” a work item from Karbon will it still count towards the total ‘Work item connections’ we are subscribed for? Or will it free up a slot.



Karbon Document Management allows you to connect your external Document Management System (DMS) so you can manage client work files from a single source of truth.


You can choose to connect a work item with a new or existing DMS folder for automatic and organized storage outside of Karbon. A number of work item connections are included in each Karbon subscription tier.

  • Team: Connect up to 50 work items

  • Business: Connect up to 200 work items

  • Enterprise: Connect up to 1,000 work items

Note: Connection limits will be enforced from July 1, 2022. Until then, connect an unlimited number of work items to your Document Management System.


Manual copying and sharing of files between Karbon storage and your DMS do not contribute to your connection limits. This functionality is included in your existing plan and is unlimited.


After July 1, 2022, you will have the option to connect more work items. Additional connections can be purchased for your account, the pricing is as follows:

  • 200 work item connections: $40/month paid annually or $50/month paid monthly

  • 1,000 work item connections: $80/month paid annually or $100/month

  • 5,000 work item connections: $160/month paid annually or $200/month


I’ve been looking forward to this since before it was a thing, but I’m disappointed that you have to have highest tier Dropbox account.  We have a business account, but it’s not sufficient for this feature.  Also interested in the response to Thomas’s question above.  200 work items is not many….  :(

@Thomas @NikkiD Connection on completed work will not count toward the limit (so you don’t need to remember to disconnect it) and disconnecting a work item will also free up a slot.

When seasonal work kicks off (e.g. annual tax returns), all 500+ work items are created at once. Will this mean that if we utilize the connections feature, we will automatically exceed 200 connections at work creation? Assuming the implementation of placeholders for the Connection folders is in place which would create a connection in each work item when the work item is created.

The connections are not actually utilized until the work starts, however the repeating tax work is created well ahead of the tax season and all at once.

The OneDrive/SharePoint integration looks great thus far for attaching files to emails. However, our biggest pain point is saving files received FROM clients via email. Does the integration address that, or do you still have to click into the attachment then save as from the native app (i.e. Adobe for PDFs)?

I can see how this would be useful for management and ongoing work but is there not a way to simply link the client portal to a document storage space where important documents can be transferred over to them or that they can access in the future?

For example, Self Assessment or Final Accounts for past years that they may need access to?  Would we expect this to be accessible through the completed work tasks in the client portal?  Is there then a need to have a secure document management service in the background?
