Write-off of time

Might seem like a dumb question, but traditionally using other WIP management/timesheet systems, when time is allocated to a client or work, and then billed, the remainder is written off or carried forward. We’ve then reported on unbilled WIP periodically to account for any time that could be billed that hasn’t been. My question is, given Billing hasn’t rolled out in Karbon:Is there even a need to write-off WIP at all? How does one report on unbilled WIP? How do you keep track of ad hoc time not associated with work?

Updated client onboarding client request email

Hi allI am wondering if anyone can point me in the direction of an update to the client onboarding template that replaces the old wording in the client request email, noting how the karbon checklist works (e.g. referencing a pin number instead of the new magic links)?

Work in My Week when no tasks assigned

Hello.I’m trying to work out why work items are appearing in my My Week, when I have no involvement. I understand that when you re-assign all your tasks that you still remain on the ‘Work team’, but even if I remove myself from work team, the work still appears in my My Week.There are work items in my My Week that I have never had any tasks or emails assigned to me. The only way I can think I was involved as someone tagging me in a comment.Am I doing something wrong?

Undo automators

We are having an issue with clients who are ticking off items on their checklist and then unticking them. The issue is the ticking off initially sets our automators to mark the work item as ready to start and the next internal task as ready to start.When client unticks the box the work still sits on Ready to Start instead of the status reverting back.I am having to check all our work at Ready to Start to see if the clients have done this (we have had 4 clients do this today upon sending of the checklists for their Activity Statement work.Not sure if anyone else has this issue with clients?

Downloading excel files

Good morningI have just been made aware of the download function under the ‘details’ tab, however this client has uploaded an excel file and when I go to the recent documents area and ‘manage’, it does not give me the option to download. Does anyone know why this is?

Cancelled status not available

I am trying to set up an automator that goes like this:If all the tasks in the section are above have the status completed, then update the status of tasks in this section to Cancelled.I have ensured that the work type settings have Cancelled selected as a task status, as below:But when I go to set up this automator in the work template, Cancelled is still not an option. Can anybody help with this?

Downloading client uploads on client tasks

Does anyone know best practice for downloading client uploads on tasks. For example if a client uploads 6 separate image files of bank statements, I cannot drag and drop them, nor can I choose a ‘download all’ function like I can in an email.Is there a workaround or a planned upgrade to Karbon to fix this?

Is there a way to add multiple emails to a work item at once?For example, when a client sends in 10 separate emails one after the other.

BCC disabling functions

If I am BCC’d in an email I cannot ‘plan for this week’ or add to any timelines.Is there a way to get rid of this feature?We often BCC other staff in emails to clients as an FYI and there may be action items in there for them and they cannot do anything with the email.

Automating client tasks scheduling

I am changing a quarterly repeating work item to auto-send the client tasks on the 1st day of the month following the end of the quarter. When it asks me if I want to update ‘all instances’ to auto-send to client, what dates will that set up to auto-send on future instances?Will it be the 1st day of the month following the repeating period? It doesn’t specify and I can’t find the answer in the online guide.Thanks

Repeating notes

I would like the ability to pin a note to a work timeline that actually repeats along with the repeating work schedule. This would be useful for a background note for the work that doesn’t change, not actually a task.Does anyone else feel like this would be useful and do you have a workaround?

Client task auto-send

I read the Karbon guide on client tasks, but it doesn’t mention where it draws the client email from when setting up a task to auto-send say, 1 day after start date.If it draws the email out of the contact relating to that work item, then this will be a problem, as the merge fields in the email will draw in the company or trust name the work item is under, and not the first name of the client.Can anyone help with this please?

Conditional tasks

I have set up a work template. There are tasks on the template that may or may not need to be completed for that work. If it does not need to be completed, is there a better way than just marking it complete regardless? If we skip it the job won’t complete when the last task is ticked off.

Setting up recurring Monthly IAS/BAS jobs in Karbon

We have clients with monthly Instalment Activity Statements (IAS) reporting PAYGW, but every 3rd month (last month in quarter) it is a Business Activity Statement (BAS) reporting both PAYGW for that month and GST for that quarter.Now i cannot set up a recurring job for the IAS alone, as the recurrance would be 2 months out of every 3 months. I have set up a monthly recurrance as all the team understand the third month is a different statement, however we charge some clients a different amount for the IAS and the BAS.Does anyone have a solution for this?

External links/hyperlinks in Karbon not working

I cannot find this issue discussed anywhere else. When I paste a hyperlink in an email within Karbon, the link does NOT work when received by the recipient in Karbon. If the email is generated in Outlook with the link pasted in, then the link DOES work when received by recipient in Karbon.Is this a known issue and is there something I should be doing in Karbon to ensure that the recipient can open the link, without having to use the Outlook workaround?
