Can I Delete Archived Emails in Outlook

Hello all, I have received confirmation that the email will remain in Karbon after being deleted in your email provider. But if not tagged to any timelines, then the email will only be visible to you in search and in cleared. I hope this helps. Thanks Aliesa for following up on this. That’s great news!

Can I Delete Archived Emails in Outlook

I would start with emails you know you won’t need and test it out. It makes me nervous that they are just cached and not stored with Karbon and there’s a routine sweep that clears out deleted emails every once in a while. I agree with you Max. They may eventually disappear in Karbon. Is Karbon able to confirm?

We do the same as above. Add ‘ZZZ’ to the front of hte Client names, as well as change them to a Client Type called ‘Archived’.

How to handle spouses? Client Group? Organization? Other option?

Great idea to use the Organisation. Never thought of that. We have a group for the couple and then have individual contacts as group members for the husband/wife and any other related entites, trusts, companies etc.

Text messaging in Karbon

In Australia, we use Messagemedia which can send SMS via email. We setup a special email address with the client’s mobile phone number (<mobilenumber>@e2s.messagemedia.com) in the Contacts and then just send an email to this special email address. They can then message back and it appears in Karbon just like a normal email conversation.Works really well for us.https://messagemedia.com/au/

Unfortunately, Karbon have mentioned that MFA is currently not on the development timeframe. Please vote for MFA if you think it’s an issue for the Client Portal.

Hey @max could you suggest the MFA / 2FA please as a feature as I would definitely vote for it, and it’s something we’d really like to see from a cyber security standpoint as well. We might be doing plenty at our end, but we can’t control the security from the client’s side. @Ellouise Hempstead I created this Feature Idea a couple of weeks ago:

Client Portal Security

Thanks for this, @Amelia Freeman! My biggest concern is that client logins are secured with only a username and password on a always-available front door landing page. Does Karbon monitor or protect against brute force attempts to log into the client portal as a client? Is MFA (or at least OAuth) not an option for v1 of the client portal? If so, I’m concerned. I’ve seen plenty of examples of passwords created by our clients and know that many clients have a tendency to use (reuse) weak passwords even for systems that access sensitive data/functions. If a client has an account compromised because they didn’t pay attention to security, they tend to blame the account provider, not themselves. In the case of the Karbon client portal, we’ll be get the blame. I agree that MFA or at leasat an extra layer of security on top of the username/password is required for the client portal. I was excited, and still am, for the client portal functionality but I am hesitant to roll this out

Changes to Karbon’s Client Portal will be live next week

Thank you for providing the preview video. Very helpful to see it. In the FAQ’s, there is a question, “What if I delete a contact?’. It mentions that the client’s client portal account would be deactivated when a contact is deleted. However, we do not delete any contacts in Karbon. We only change their status to ‘Archived’, which is really just another client status. Would you be able to provide the functionality to manually de-activate a client’s portal without actually deleting the client? We prefer to keep the history of a client instead of deleting them.

These are some cool upgrades. I like that this allows clients to see a history of requests. However, I do worry about the security. Emails are so easily hacked, especially nowadays when most people are always logged into their emails on their cell phones. If a cell phone is stolen, the data is at risk. There is so much sensitive data in tax documents, I think another layer of security (like the PIN used previously) is necessary. I agree that the new ‘magic link’ is a step backwards in security from the PIN concept.

Hi @Amelia Freeman Is there two factor authentication with the client portal? I’m not sure how this is more secure than before, as mentioned in the ‘How to Guide’, where it states: “It’s a safer and more efficient way to handle your accounting and tax.”Previously, the link in the emails to the client task checklists break - good for security. The URL to the client portal will be a static URL that is fixed per accounting firm. Is this correct? Which means, the only security is the password that the client makes?

Create contacts during client task setup, and more!

I thought that we could previously see the actual email address when sending client tasks (I may be wrong on this). I can no longer see the email address, which means I have to guess which contact to use when a client has multiple email addresses. Don't really like this update.
