There is no good way to solve that from my experience. I do audit and financial report as well, which are long time and complex projects involving more team members. We currently also put job manager as the work assignee and within a work, we may put other team member as task assignee within the work.
For the area not performing well (lower usage of karbon), the result is hided or was just replaced by the firmwide performance. I don’t like this idea, we need objective and real figure to push team to continue to use it. Encourage is not always a good way. We have karbon usage incorporated in our staff performance management.
@Alex Graniere Thanks. Yes, I have already paid the ongoing service package. But the funny thing is that the data is only for uncompleted work, any work marked completed cannot be extracted to show the tasks in completed work. That is really unexpected and caused a lot thinking and efforts in finding get around, so far, I haven’t got one. I cannot afford to ask team to not mark the work completed solely for this reason….
Hi Tom, when I say team performance evaluation, it means for each team members. Human is not machine and we cannot assume all the human in the team are having the same efficiency and having same level of proficiency and have same level of responsibilities. In real world, different team member has different performance result. We have a KPI and inventive plan for team. Most important KPI are quality and deadline meeting rate, and all are measured at individual staff level. Unfortunately, Karbon don’t have any report give us direct access to the result of the two KPI. For Quality rating, we require reviewer to mark a score for the work preparer. But there is no place at the moment in Karbon to do this. We have to invest a lot of time to have a walk-around. For deadline meeting rate, again, for a work in our firm, there are at least 2 team members involved. The work complete on-time rate in INSIGHTS only reflect the work assignee’s on time rate, not all the colleagues involved in the work
Hi Max, thanks for the discussion. How you do performance management for the team and how you decide good performer in the team and poor performer in the team? Without the data and report, how a team member is assessed as good or bad? I am interested to know your model and process of staff performance management by using Karbon, or you use a different system to track that? My firm start very beginning set up as a fixed fee service accounting firm (of course, fixed fee for fixed scope, but as you know, the accounting service is not like a ISP or mobile phone plan, the scope is often extended the process, especially for consulting/audit/tax services) , so we only use time sheet to track the time cost for each of work. I am interested to know without time cost information, how you know and on what basis you charge client an overrun or extra fee for the extended scope, especially for those consulting/audit/tax advice type of work.

Especially the create template from a work and then create another work use the template, which is a bit getting around, but it works for copying whole existing work to another.@max Thanks for sharing the real experience. Appreciate that. I don’t exact understand how you realise that, but I guess it is to create a couple same task with different task assignee in a work, and you use excel to help that, but I don’t know how excel help that. @Craig Budgen Thank you Craig for sharing. To centralise the work setup work with one admin, it is an option. Only if the admin is well trained and good at Karbon, it will make the work setup consistent and to the firm standard. However, if the admin setup the work, there are a lot of detailed communication about the specific work, like tasks to keep, to delete from template, starting date, due date, client prepared documents, fee, budgeted hours, staff work taking different role on the work, etc, etc. How you standardise the communication in terms of below?How you trigger the setup the work? Do you need a partner/senior people’s approval to set up work? What communication tool you use to setup work and faciliate the communication between admin and accountants? email? form? Mike
Eduard, I agree with you. I expect that when you click the bar in the insights, it will give you the next level of details, like work items included in the bar statistics. To be honest, Karbon seems a work-in-progress rather than a full functioning product. for example, the contact interface, the feature, and function are not well designed as well. I can see Karbon has some good points made, but I really need it to speed up and becoming more functional and matured. Considering the fee (I think Karbon is the most expensive one for peer products), I am a bit disappointed.
I am just in a process to define the roles. Because following limitations in Karbon, I found I am struggling to clearly define the roles in karbon, to have proper view for each role as well as having a performance results (insights) for those roles. Limitation or Karbon:there are only 3 pre-set roles in Karbon (client owner, client manager at contact level) and work assignee at work level. To me, two compulsory standard roles (engagement manager (or if you use work assignee as engagement manager, then the work doer is missing) and engagement partner/leader) are missing. These are not matching the most standard practice in an accounting firm. (my former software greenxero has such role at job level) The view for work management is a bit scattered, I really hope there are standard/recommended pre-set view for each roles. This will save a lot of time to do our own filtering as we are suppose to focus on service delivery rather than Karbon tailoring. Currently, the insights about the work
@max Thank you Max. By only thinking this, the idea should be working as a workaround. That means I need to create client groups by job managers, each job manager or each job partner get a specified client group. I will try this out. Only pain is that it is not easy to set up client group as I have add one client by one client to the client group, there is not multiple selection available to add clients ticked all at once. But your way is a good way for sure, thank you.
