Hiring is the most difficult part of running my business. I wish I had something to offer but I am very interested in this conversation. What resources have you found most helpful in coming up with your interview guide. I have not had any luck find good assessment tools that I feel really vet candidates. Definitely following.
Hi @MariaV! During the hiring process, we create contacts for each candidate. We mark these contacts as PRIVATE so that their emails are not shared and people who are not assigned to the client cannot see any of the work items, comments, notes, etc. Support Link: Overview of Privacy When someone is hired, we setup a training “meta” work item to track their overall training path, and then have different work items that track individual certifications and training regiments. Only the manager has access to the contact, and the staff member is assigned the individual training work items, but not the meta training work item. The meta is used to keep manager notes and as a guide for debriefs. Support Link: How do I find out who has access to a private contact Does that help at all? This may be well known, but when I first started working in Karbon, it took me a while before I figured out I could hover over the pages on the top right of the screen and skip to first and last. So when I have number of pages to navigate through I just go straight the last page and work backwords.
Thank you all for your answers which make total sense. I know that individuals can edit their own time but now the reviewer. To me, the article implied that the reviewer could edit time. I do, however, get that it is better to not get in that habit but instead train the team to be responsible for their own time. If they have to fix their own time, they will more likely do it right the first time.
We do the same as above for the reasons mentioned above. I wasn’t aware that the ability to adjust another person’s time was part of the how-to. I skimmed over what you sent and didn’t see that as a feature. Can you copy/paste the section that talks about it? I’m curious. Here is a snippet:
If you mean the Start date of the repeating work, then NO. You would need to set the end date for the current repeating schedule so it does not repeat AND then recreate the repeating work with the actual date you want to be the start date. If you need the current work item, make sure you set the end date to AFTER the end date of the work or it will delete that item as well, requiring back end support to reinstate it. Just a system limitation not being able to change the Start date from within the repeating schedule. This is exactly what we determined but I was hoping that was a work around or perhaps a lack of knowledge on our part. Thank you for validating.
I do the following: set up the repeating job navigate to the repeat job and open go to the top of the page and change the start date and the due date. Does this help? Carol, Thank you for the reply. That doesn’t appear to change it in future repeats. Only in the current POW.
Hi William, That’s a really good question. I’ve done some digging and don’t see that it is an option to choose a different default setting. Hopefully someone here will prove me wrong.You can submit an idea by selecting the Help and Feedback menu item in Karbon and then submit an idea that will make Karbon even better. Maria
@Trey Fulmer Usually I would go straight to Gmail. However, I have been trying to stay in Karbon. But there was a second issue. I am not sure if it is gmail or Dropbox but every time I send an email from Gmail with a Dropbox attachment, I get all these permission pop-ups warning me about sending attachments to people outside of my organization, yada yada yada. For some reason, the mass email would not send from Gmail. That has never happened before.As a result, I had to manually add every recipient.
@max Yes that helps. It cleared up that it is something I can not do as the Admin. That was a my main question. I too discovered that one of my staff was not sharing emails and he is a new entry level and I figured that would be something I would be able to control. But apparently not.Good to know I can also handle on the spreadsheet.
Yes, it is possible to use Time and Budgets without connecting to QB Time. Our firm is currently moving away from QB Time and using just Karbon for time tracking instead. Someone else may have more insight into the integration of Karbon and QB Time, however, disconnecting the integration should not affect your ability to use the time tracking feature in Karbon. Thank you so much. I guess I will turn it off temporarily and see what happens.
Is the Karbon/QuickBooks Time integration a one way sync from Karbon to QBT?Assuming that is it, I am just trying to understand the “mechanics”.If I set it up to only sync Client Contacts. The Client may have multiple pieces of work. All time logged in any of those POW will sync over the QBT to that client. Is that correct?Finally, can I track time and budget in Karbon without integrating with QBT?
I have wanted this same feature so many times and still do. However, I have not requested it and this is why. If this feature was available, it would enable my bad habit of leaving emails in triage. The goal being to keep triage clear and get to work. I am torn because it is incredibly difficult to meet that goal and then my bloated triage hampers my productivity. But it is partly new habits that need to be learned and partly being too busy to get to triage. The struggle is real!However, there are some things you can do to help.Don’t forget the Low Priority feature. Less important emails can be marked as Low Priority and then will not show up in your main triage. Once a week (I try to do no Fridays) you can review Low Priority and clear the emails in bulk. If your behind, you can clear months at a time in bulk in your triage. Sometimes, I have old emails in triage and I know that they’ve been taken care of so I can use this feature.Hope this helps!
@MariaV two good places to look are Work Insights and Email Insights to review the Colleague leaderboards: https://help.karbonhq.com/en/articles/1524618-overview-of-insights . Click Insights from the main menu. Also, you can you use the Work (Kanban) and review the details by Assignee or Colleagues Involved to monitor the throughput or you can go to To Dos and review the To Do of a colleague and look at what is in their queue and what is Completed. Be sure to leverage filters in Karbon to view the different states of Work or Tasks (e.g. Completed). Thanks for this information Ian. As part of my weekly standup with each team member, we are starting to reviews their Todo lists and talking about which views are more efficient, discuss why due dates are missed and solutions and tips for Karbon as well. We just started this and I can already tell that it will be helpful.
@MariaV If you asked about active users did you mean their efficiency or active = who is working now? You already received and answer about user efficiency but if you are asking how to check in Karbon who is working now you can use Time (left menu): Time -> check time allocation for your particular user or whole team i.e. today/week and you will know on what your team is working Ewa, the efficiency is more or less what I was referring to. But this is good information to have as well.
@MariaV Following up on what Ian said, if you see a lot of open ToDos and you know for a fact they have been completed, then it’s likely they are not using Karbon. Also a good indicator is if they are @ mentioning you on email threads. Likewise if you are @ mentioning them and they never respond, then they are probably not using Karbon since that is the only place they would see those comments. This is really good information. I have been paying more and more attention on whether my staff is working off their todo list and paying attention to the due dates. These are good indicators.
Would it be helpful if you had a page in settings letting you know when people were first and last active in Karbon? It would be nice to have an option which display Active users now: Active user list: User name -> total hours allocated today Actual working on -> time allocation based on running Timer I could see how this would be helpful. But I was actually more referring to a users activity and whether they were actually using Karbon.
