Slack integration, Companies House enhancements + more

Some user feedback on the Slack integration - you cannot see who wrote the message on Slack. For example, a note was written by a client but as we posted it from Slack to Karbon, it looks like the Karbon user wrote it (not the client). So if you are tagging a message in Slack, best to write "From Client Name" or similar when posting so it’s clearer.We also tested messages with images, when the original Slack message has an image in it, the image disappears when posted to Karbon.

To-Do vs My Week vs Work

My team never got to utilise and use My Week - I have been trying myself to use it but not so good for me either - I find myself marking stuff as Done most of the time as it’s not really work assigned to me, perhaps I was copied in an e-mail which is already on my To Do list. Currently Work and To Do is what we use: Work - for looking at the bigger picture To Do - usually filtering by Client and double checking Work To Do’s that need clearing I still have to chase my team to clear their To Do lists (on weekly basis) and they are generally much better now - what’s the best way to start using My Week (and seeing the value in it) - without losing track of To Do - at the moment managing both seems like mission impossible and tbh I still don’t quite see the difference, they are very interlinked! BTW - I quite like the option to e able to move my tasks for tomorrow, or Wednesday, or Friday (for example), rather than This Week.

AML Tool Integration - what AML system do you currently use? (UK)

Hi Antoniya Good question.  I’m looking for a AML solution.  I’ve just had a demo with FirmCheck AML, the chairman is one of the founders of Xero.  Ideally, I want an AML solution that has a deep 2-way integration with Karbon.  What solution are you using? Internal Work Handover - Best Practice

Hi @AntoniyaB. Ours looks very similar to the examples here.  We have set it up with autormators so most of the internal admin work is completed before the receiving team/person gets into it.  Our last task is to ensure that the KPI reporting is updated.  This final step often highlights any work that did not get fully transitioned. Question: when you are doing this do you go remove the ‘old’ team member from the work team?  I try to for reporting purposes but it is tedious.  Any magic work arounds?   sometimes I do, sometimes I forget - perhaps should be set up as a separate task 😄

Thank you - currently we have a work handover template that involves the following tasks:Instruction for handover - including details of what Client/Work needs to be transferred from whom to whom - manager task Updating Karbon (recurring) work and tasks - admin task Review current Karbon work and Tasks, complete/update as necessary prior to handover - current account manager task Schedule meeting with new assignee to discuss work that needs to be handed over -current account manager task Record hand over Loom videos (How To videos as reference for the new assignee) - current account manager task Follow up with new work assignee to make sure all information is understood and accessible - current account manager task Introduce new assignee to the client - current account manager task

I have added the billing type to the title of the work and people still make mistakes when entering their timesheets 😭 You are right - I’ll send a feature request 👍

Billable and non-billable work

We have several different task types, we add the task type that we would like them to use to the budget in the work. When they clock-in and out of the work item they know to look at the task type in the budget to ensure that their time entry correlates to the task type for the work item.  By creating the task type in the budget this will show up in your repeat settings. You can also setup the budget on the work template.  When approving time I then match the task type they selected to the work item title i.e. weekly bookkeeping work item should have weekly bookkeeping task type.  I have added the task types to the budget in the work but people rarely look into this section, they usually enter their daily timesheets in one go from the clock icon on the top of the screen, which usually has all task types showing on the list. Ideally I’d like them to pick the Client > Work and then automatically the Role and Task Type to show - or perhaps this feature is not possible?I can’t see in th

What are others preferred app stack choices and why?

@AntoniyaB. My favorite integration is Ignition (fka Practice Ignition).  Side note: I can’t imagine why on earth a firm would use the billing function that’s being developed in Karbon, unless they’re still functioning on a “time for money” model. We use a value pricing model (not just fixed fee).  Ignition lets us set up template proposals and is a super professional presentation.  Also, no chasing clients for payment - we auto-bill up front.  We also have videos embedded in the proposal process (a short 30 sec video from me, a 30 sec testimonial when they receive the proposal) and “next steps video\yay” video from me and a “congrats on deciding to work with Lisa and her team” video from a prolific small biz author upon acceptance so clients can get started on their deliverables ASAP and get a dose of validation from the author. I love that it integrates with Gusto so when we bill a per EE fee for payroll, it will grab the info and bill automatically for us.  Ditto that it will set u

Email attachments

We, at Svihla & Associates CPA have noticed that when we receive attachments in an email, sometimes they are at the bottom of the feed and sometimes they are at the top.  Is this normal?  We also noticed that when we have a thread of back and forth emails, they are never in the order in which they are sent or received.  They are all jumbled up. It would make things so much easier if the attachments were always in the same place and if email were received and read in the order in which they were sent. (does that make sense?) Same here - e-mail threads I kind of got used to figuring out, but the attachments at the very bottom, it’s pretty bad!

When I reassign recurring work to another person, their tasks need to be reassigned separately

To add to this conversation - when reassigning a recurring work to another team member, I have to click on each repeating work item separately and then get back to the list, it won’t allow me to open all work items in new tabs - has anyone else encountered this issue?

Search capability

To add to the conversation - an example from today. I know I sent a note to a colleague yesterday morning and I tried searching for this note using my colleague’s name, my name!, and a keyword from the message. The search list came up with everything but my note - other colleague’s notes from all sorts of work, my notes from ages ago, but nothing from yesterday. Annoyingly I had to go to my cleared items and search for my note manually - thankfully it was only from yesterday!

When I reassign recurring work to another person, their tasks need to be reassigned separately

@AntoniyaB. I’m so glad you raised this question because I’ve run into the same issue. I know that in the Kanban work view when you drag/drop the work item to a new Assignee, Karbon prompts you to also reassign the tasks and budgeted time. However, this doesn’t update the Assignee in the repeat schedule. The next work item that is created from the repeat schedule will default to the Assignee in the schedule. Currently my work around is to reassign the repeating work from the Repeat Settings and then go to the details tab of the work item and reassign the tasks by clicking Edit/Change Assignee in the Work Team section. That at least allows me to reassign all the tasks at one time.  Would love to know if there is an easier way! Thank you - likewise, hopefully if there is no easier way at the moment, there would be a solution soon. I will put forward a feature request (unless someone else from the community has an answer to this)

@AntoniyaB. When on the Customer work tab, Select Repeating Work from the drop down rather than All Work. This will then let you select each repeating schedule work item which you can then edit. Make sure when you set the end date of a repeating schedule you make it is AFTER the date of the last work item you completed in the schedule or it will delete the completed work item. Emails copied or shared with colleagues automatically

A client work will always be assigned to one person, this could be your main team member who will be overlooking the work to make sure it’s always done correctly.An e-mail or task within the work can be assigned to any other team member and in a note you can @ anyone else so that they are aware.If you have a trail of e-mails, and you tag in a note multiple team members, they weill receive all new messages in their Triage and be on top of things - I hope this helps.

Insights - Should be task based, rather than work based

If you use time and budgets functionality in Karbon, you can allocate work items to different members of staff and monitor the time spent rather than tasks completed - although we have the majority of our clients on fixed fee, we still use timesheets to be able to keep on top of things.I agree with Max that Karbon is designed for a collaborative work environment rather than monitoring how many tasks a team member has completed. Some work in Karbon has no tasks for us, other work pieces however, have sections of tasks allocated to different team members, from a Bookkeeper, to an Accountant to a Reviewer. But again, one task may take 1 minute to complete, another task may take 1 hour to complete. The question here is to make sure you set up the work in Karbon to correspond to the time and budget you have allocated for that client’s piece of work and allocated the right staff members to complete that work to make sure you fit in the time and budget.
