Better Process: 1. User Submits timesheet for Approval 2. Admin reviews timesheet, updates, Approves 3. Mentions to Colleague what changed 4. User reviews comment/changes 😓I don’t like this idea at all. Our firm has a bad habit of fixing things for people (the work must get done), but even the most well-intentioned neglect to circle back with feedback when pressure mounts. We are working hard to go from your better process to your current process across the board with work, lol. We also found that it pays long-term dividends. One thing we had to start doing to make it work, though, was get the staff member on a video call to show them the feedback before rejecting and asking them to resubmit. We have seen a decrease in the number and frequency of mistakes made. I disagree when it comes to timesheets. Not scalable at all. A lot of work for something that can be done far more efficiently and I believe would have the same effect. You’re literally saying that well-intentioned
@MariaV it looks like Karbon updated that article 😅We would also like the ability to edit (whilst also letting people know what to do for next time):Current Process:1. User Submits timesheet for Approval2. Admin reviews timesheet and Declines3. Explains what needs to change4. User updates timesheet and resubmits for Approval5. Admin reviews timesheet and Approves if correctBetter Process:1. User Submits timesheet for Approval2. Admin reviews timesheet, updates, Approves3. Mentions to Colleague what changed4. User reviews comment/changesSometimes it’s easier to show than to explain! 🙂This could be worth voting for:
we essentially need one more role that is able to be a filter in work views! Our client teams have 3 people, so we’re having to use Work Assignee as a de facto role as that field is available in views. Same @Rebecca Williams! My new plan is to tidy up Client Team this week so that the third person can use this as their filter in Work views.. then we’ll work on getting templates right so we can assign Work (utilising automators) based on whose desk it’s on (which I understand is the idea behind assignee - but was easier to use that field differently in the interim, than get all Client Teams updated/right and templates updated/encourage reassigning throughout the process). In case you’re interested @max, it works okay for us not ever assigning Work to Owner (Principal) or Manager (Reviewer), as we (Managers/Principals) can filter on Work where we are that role and the Work status is one that would be with us (e.g. Queries Drafted/First Review/Further Review).
Yeah, I can understand that! Hmm, not sure the logic that could be used for when status changes, move back into this specific person’s My Week. The answer may be that we both need to rework workflow so assignee changes as well (because then change of assignee could follow a logic to put the item back into that person’s My Week).Work views still necessary (and may be forever - for checking things not falling through the cracks!)
There are a couple of good feature ideas here that I think would help alleviate the issue of getting an item back into This Week/Working On Now from Done when the time is right (someone tells you it’s back with you via a notification in Triage). You (both) have already voted on them!
Looking forward to hearing more here!Interestingly enough, our process/es are similar, so:- assignee stays consistent- I rely on checking Work views to follow up Work- I move things to Next Week or This Week (out of Working on now) if more for me to do later- maybe we do need to work on reassigning Work**Client/Work teams need a tidy up though - only Assignee (Preparer), Client Manager (Reviewer) and Client Owner (Principal) are all correct - which is why we didn’t need to change assignee to run Work views that told us what we needed to know
@Karessa Jean I reach out to the support chat and let them know the client name and the email address that I want to be removed. Then they can wipe them from Karbon’s memory (not just your local computer) so that both you and your colleagues will not email the incorrect email address. Hope that helps! I do the same, would be great to be able to control that from our side!
I too love scheduled emails and heard of this workaround for draft emails that need to be reviewed (but is no good if reviewer is supposed to send themselves). In Outlook, preparer would send to reviewer/sender who would forward to client (removing FW: and preparer’s signature, if not drafter with sender’s signature). This was okay, a minor inconvenience to make the edits but relatively workable. It doesn’t work as well in Karbon (imo) because forwarding is more cumbersome and leaves a trail of effects that I don’t like being applied by default!(Link to old/original/draft email - not always useful, additional clicks to open the email - never useful!)
At the end of the day, it’s the denominator (available hours) that’s probably incorrect, the numerator (away hours) shouldn’t be billable (as it isn’t).Possible a Feature Idea (have a Task Type that reduces available hours and doesn’t count towards utilisation), but overall I think utilisation is best measured over a longer period of time and in such a way that you’re accounting for people’s holidays (possible sick leave) 🙂 (week to week, the person preparing their timesheet will know whether they were away for a significant number of days - affecting utilisation)
@Ian Jack I agree that it’s illogical the discrepancy in treatment in Karbon! Hopefully they change it, like your Feature Idea (that was merged with Max’s) 🤞🏾We disagree about a few things, but that’s okay. At the end of the day, if you have to persuade (your words) someone to do something so simple and of little inconvenience to them (but material convenience to you), perhaps you there is a misalignment there 🙂
It then takes me a long time to persuade my colleagues to correct these time sheet entries by adding a Task Type. I totally agree selecting a task type should be mandatory and that the inconsistency between usage re utilisation and cost is incorrect. As for staff who need persuading to select a Task Type.. what do you with staff who refuse to fill in a timesheet at all? Let them away with it? If they can’t see how it’s them not doing their job, sack them. I wouldn’t want someone with such poor attention to detail working in an accounting firm, let alone in one I was running.
We are a firm of environmentally conscious people and mostly paperless (no paper files, print the odd report for client or agenda for client meeting). Our client base is almost entirely medical and dental practices and practitioners. There is definitely a lot of environmental impact in healthcare (I shudder to think of the billions of masks barely used and filling landfills and waterways every day), I’d be interested to know if it is even possible for our clients to offset the environmental impact of the wastage in their industry.I also wonder how many would be interested in that from us, compliance isn’t getting easier (despite what software providers tell you) and advisory with the number of data points (and software applications) is also very resource intensive, so how do we provide the quality service our clients want and expect and also offer sustainability accounting. If I were servicing a different industry of clients, I’d definitely be more interested in it (as I think clients wo
As of now I have been contacted about the problem and there’s a new engineer working on the ticket who seems to understand the problem. I will update with progress here if anyone is interested. What did you find out here Max? I had the issue happen once and likewise it wasn’t a satisfactory support experience initially, this was followed up and resolved, yet we never got to the bottom of what the issue was that caused the concerning glitch..
Great work. Thanks. Two observation to report: Add email to my week: I haven’t seen the option of plan for this week by clicking the three dots yet. When it comes to “create new email” when click the “+” on the top right, it still shows add to work, not “add to timeline”, I guess that is designed by that? 1. I seem to be able to see it 🙂 try Ctrl+F52. I think the change only affected the Triage menu, because you could select either Timeline, whereas this function only gives you the option of work 🙂
