Here’s a recording of our introduction to document management webinar

I can see how this would be useful for management and ongoing work but is there not a way to simply link the client portal to a document storage space where important documents can be transferred over to them or that they can access in the future?For example, Self Assessment or Final Accounts for past years that they may need access to?  Would we expect this to be accessible through the completed work tasks in the client portal?  Is there then a need to have a secure document management service in the background?

Client Naming - Legal vs Known By Names

The problem with using the brackets in a name field means that the data in last (or first) name is muddled and you cant use it as part of the automated email tasks. In order for you to get around that, do you use the preferred name field only to use the automations? How do you handle organisations with trading as names (ie sole traders or companies with different names)? Does anyone link their proposal or accounts software to Karbon for contacts either directly or using Zapier?  All my programs seem to be linked by contact name and they need to be exact in order to be linked, which causes additional problems when we are using the contact information in Karbon liberallyMy feedback from Karbon was to use the preferred names but they are not searchable when looking for a contact.  So in a database with 350+ client names, it seems an unscalable task to remember all the nuances.

Introduction to My Week in Karbon

The My Week function for “assigning” emails to you.  Can it be added to multiple user’s my week or is it just one like the assigning of the email?

Email Insights and Volume of Emails in Triage

Thats great that the bug has been found but, actually, knowing how the metrics in email insights might be useful.especially the days to reply calculation.  We seem to have a very high number of hours to reply despite actually clearing triages and replying quickly to some and slightly longer to others.Also, are internal comments included or is it just incoming/outgoing messages and does the low priority box include in the metric (as this can contain spam or newsletters that generally dont get replied too)

Have you thought about putting a link to an IM software in the description?  We use slack and can set up a channel with an external link if you have something that is ongoing

I do think the whole user experience for Client lists needs looking at.  I would much rather have a triage approach than a to do list approach with the ability to clear the tasks/comments off the list rather than them sit on the list marked as completed.or a tweak to the clients view that removes completed items?Both within the realms of possibility without too much development.I use Google forms and typeforms for the same purpose.

How do you keep track of your to-do list?

My default view is by Client.  Making sure all incoming jobs or emails are tagged to a client and I then move them around depending on whom I am dealing with on that day.We often use custom status’ too, like Important, Urgent, Important & Urgent for example under the Planned parent status so that we can flag whichever job and then sort by status so we can tackle the urgent & important ones first before starting on the rest.Often organising the to do list is something I dont tend to do and I end up feeling overwhelmed so I do have room to improve.  It’s just lower down on the priority list once I get through my triage and start working. But using it in this way helps manage tasks and delegate where needed.If you are managing others and want to see what they have on, I prefer the Work tab rather than the My Colleagues TO Do List, so that I can see what is overdue and at what stage.  You can update the status and the todo from that view and find it easier to view a teams progress/

You could tailor your approach to how checklists are used and provide a short training video for your clients?  You could include a link in the task description to the help so that it minimises the amount of questions that a client has?For our checklists, we have added a few options like “Need help?” to get in touch if they dont understand or are overwhelmed by the amount of tasks.  We have also split it up into different sections so that it is relatively obvious where the response is.I agree that an email notification of the comment should be sent to the client with the comment and a button to reply included, and with Karbon evolving a client portal and moving in that direction, I think it will get there soon.@max lots of suggestions go there but Karbon has admitted that they get quite a few all the time but dont respond to any of them to acknowledge where they are in the development line or that they have actioned them.  I’ve suggested in person, by email and through that function to

Internal Practice management

Internal mattersWe use a combination of hidden and private contacts to tag and tailor access for our internal practice things like HR related content or potential sales.  We then give people access as is needed (or not depending on the situation).  We also have an external communications software (Slack), where we keep some private chats about situations between management before they go into “permanent record” in Karbon.We also use some additional software (like pipedrive for sales) to progress jobs as such but some of the workflow and automation can be used in Karbon to render some of these additional apps unnecessary. TriageIt’s the curse of inbox to do list!  There is absolutely no reason why the triage can’t be cleared down to NIL every morning and I think you need to get into the habit of doing that then moving to your to do list instead.Sure the 400 items on your to do list can get a bit daunting/demotivating and there is a knack to managing the to do list (using the different v

Team role in Karbon

Karbon are talking about releasing an update where we can have a shared inbox managed through Triage (I think) like hello@ or accounts@ emails.  I’m not sure how they are going to be imported in but maybe instead of using the roles, we have additional users with a generic managementaccounts@ and assign them?I would like to see Karbon make more of the roles as we operate in teams too
