Colleague Week in My Week, and more!

If My Week is how you organize your work, tasks and email into a manageable action plan, Colleague’s Week is how you visualize what your team is working on.Open My Week in your main menu and select Colleague’s Week.From this point, you can gain a high level overview of your team’s workloads in a filterable list that shows you the total number of items each individual has allocated for each period.To dive deeper into a team member’s week, click on their name. This will let you view their My Week, including their ‘Next Week’, ‘Later’, ‘To Plan’, and ‘Done’ buckets.You can choose to re-organize cards for your team members. Any changes that you make will be highlighted in bold (along with other updated and unread items) for them to view when they next navigate to their My Week. To make it easy for you to begin using Colleague’s Week, you can refer to these resources and frequently asked questions: Can I turn on my Colleague’s Week? How can I prevent others from seeing My Week?  Maintaining client privacyWhen viewing Colleague's Week, any work items involving clients that are private will remain inaccessible to those without access. Instead, anyone without access will receive a banner advising there are hidden items.Switching your My Week to privateIf you (or any of your team) don’t want others to have access to your own My Week view, access can be disabled by heading to your profile in Karbon (click your name in the main side menu), selecting ‘edit’ in the Privacy section and checking (or unchecking) the box next to ‘Allow Colleagues to View My Week’.Any staff who have disabled others from accessing their My Week will appear with a lock icon next to their name in the Colleague’s Week list view. Plan further in the future with My WeekAfter insightful customer feedback, you can now plan work up to 54 weeks in advance when dragging work cards into the ‘Later’ bucket in My Week.If you haven’t yet explored My Week, you can learn more about the basics, how to get started, and how My Week differs from To-do, in this introductory video. Update who has access to InsightsYou now have the ability to select who has access to your firm’s Karbon work and email Insights.Insights are visible to everyone on your team by default, and can be toggled on and off by each user (and admin users) by heading to their profile in Karbon, selecting ‘edit’ in the Permissions section and checking (or unchecking) the box next to ‘View Insights’.  note: Colleague’s Week is a tool to aid visibility across your team. Bulk clear Triage items with multi-select, and more!

Multi-select in TriageYou now have greater control when clearing items in bulk from Triage, with the ability to individually select and then bulk clear.Bulk clearing items by time grouping (i.e. ‘today’, ‘yesterday’, ‘October’, etc.) has been updated with the ability to hand-pick the exact items you want to clear using a multi select checkbox.For example, if you wanted to clear all items from October except two emails, you can select all items from October with one click, and then simply deselect the two emails (rather than having to individually clear each item from October, except the two emails). Add a note directly to My WeekAfter the successful roll out of My Week to all Karbon users, it has received a minor update. You can now create and assign a note directly from the ‘This Week’ section in My Week. It will automatically appear in your ‘This Week’.If you create a note from outside My Week, such as with the global + icon in the top right anywhere in the Karbon app, you will need to add it to My Week as a separate action. If you haven’t yet explored My Week, you can learn more about the basics, how to get started, and how My Week differs from To-do, in this introductory video.   Updates to @ mentionsWhen you belong to a team in Karbon, and that team is @ mentioned, you will receive a notification in your Triage that says ‘Your team has been mentioned’. When you have been mentioned as an individual, it will say ‘You’ve been mentioned’.

You can now close Triage items by pressing ‘Escape’ on your keyboard (in addition to existing ways to close items). Add an email to a work item and clear it with a single click. Karbon will remember the previous action you have taken, so it will suggest either ‘Add’ or ‘Add & clear’ based on your last interaction. You can now filter your Triage by emails involving contacts or not involving contacts.   Okay Community, let’s hear it! Share your Saved Work Views with others, and more!

Today, we are releasing updates to your Kanban work view to make it easier for you to view, adjust, and for the first time, share your saved views with colleagues.Share your saved views with colleaguesFilters can be applied to your Kanban board and then saved as a unique dashboard showing the work items that are relevant to you, sorted in the most helpful way. You now have the ability to share your saved views with your colleagues! Simply head to the options menu (...) and select 'Share'.You can then copy and share the link with your team. Your colleagues will then have access to the exact same view you have created, with all of the same settings selected.If they want to make adjustments or be able to refer back to this dashboard again in the future, they will need to save their own version of it using the Save as New button. This will give you a high-level overview of your team's capacity at an individual level.To see this detail, sort your Kanban board by Assignee so that you get a column for each colleague, and ensure that Display Column Totals is turned on. To add your capacity, head to your profile in Karbon from the side menu and edit the Capacity section.Always see column totals when dragging and dropping work in Kanban viewWhen dragging and dropping work items in the Kanban view, all column totals will now remain visible. This means you can always see the information you need when adjusting your firm's workflow.Other updates: After adding the first automator to a section in templates, the button to add more automators will no longer disappear. You can continue using it to add automators directly, rather than navigating into the side menu. New options for Automators and more!

Today's release includes a new side tray to provide you with more critical information with fewer clicks, added flexibility when setting up automators, direct access to Karbon Community, and improvements to the Timer. A new information side trayThe side tray that appears on every email, note, task or client task has been redesigned, giving you greater visibility with fewer clicks. You no longer need to navigate between tabs to see assignments, due dates, visibility or timeline details.Highlights include: All your most relevant information available at-a-glance A consistent design for emails, notes and tasks, and across the mobile app. The option to reveal all colleagues who have visibility over the email, task or note One single modal to add to a work item or contact   A simpler way to set up automatorsYou can now set a tasklist automator to trigger based on the tasks in ANY section within your work item. This update makes setting up automators much more flexible and powerful.Previously, automators could only trigger based on activity in the current task section, the section immediately before, or all tasks and sections within your work item.A common scenario where this might be useful is if you have an SLA to complete a tax return within 14 days of receiving client information. Now, your automator can trigger based on the completion of all tasks in the client task section, updating all other task due dates accordingly. Quick access to Karbon CommunityThe new Karbon Community has launched (you know this, because you’re here right now!) —a place to connect, ask questions, share knowledge, and get inspired by other customers from all over the world.Use your existing Karbon login to access the Community directly from the Karbon app. You'll see a link in the main menu directly below your name, and also from the Help & Feedback section.Once you're logged in, introduce yourself to other members with a quick hello, ask a question, share your best Karbon tip, or contribute to an existing discussion. Improvements to the TimerOur Timer was released in June, giving you the ability to track your time within Karbon and record it against the relevant work item or contact.We have released lots of improvements and bug fixes based on your feedback, which now gives you a vastly improved time-tracking experience. Originally from June 14, 2021 Today we are releasing another highly-requested feature to make tracking time quicker, easier, more intuitive, and give you one less reason to navigate away from Karbon. TimerYou now have the ability to track your time within Karbon and record it against the relevant work item or contact.From any area of Karbon you can use the timer icon to track time. Karbon will automatically detect what you are working on and suggest the work item or contact to record against.When you stop the timer, smart notes are automatically added based on the activities you have carried out during that time. You can edit these, or add your own notes for more detail.To help avoid scope creep, you will be notified if your time gets close to the remaining budget allocated for that work item or contact.Keyboard shortcutsFrom anywhere in Karbon (when outside of a text input field), you can begin the timer by pressing Alt (Windows) or Option (Mac) ahead of T (Alt/Option + T).And to enter a manual time entry, you can press Alt (Windows) or Option (Mac), then Control ahead of T (Alt/Option + Control + T).Check out Karbon's other keyboard shortcuts here.Template list updateYour Templates view has been re-designed, making it easier to track and manage your saved workflows.
