New employee Karbon training

We are bringing on multiple employees over the next month or so and I am wondering how others train new employees on Karbon.  I know that there is a training work item that will teach the functionality of Karbon, but how do you teach how your firm uses it?  For example, time tracking rules, work item naming convention, review of work status and how/where to communicate internally.  I have used multiple methods but think we can improve .

Time & Billing and Fixed Fee

Does anyone use Time and Billing in Karbon and have mostly a fixed fee pricing structure? If you do, how to determine job profitability in Karbon, or do you?Our business is about 95% fixed fee. For us, having a billing rate in Karbon for each role is not useful in determining job profitability. Ideally, I would need to load into Karbon the loaded hourly rate for each employee (not just role). Currently we track our time and billing in Xero’s PracticeManagement and we can get job profitability out of that system. We would rather use Karbon for Time and Billing since the it would reducing switching cost between the two app during the day. I know that I could export the time data and dump it into a data analysis tool to determine job costing, but that requires a manual process and additional work that I don’t really want to do. Also, I would like to keep everything in Karbon if possible.

How to Export Total Time per Client

Hi Peeps,Is there a way to export time that shows the total time tracked for each client in one report? I want to see how much time was spent on every client in a month. Thanks in advance,Hannah

Team recruiting and onboarding

We have developed a full cycle new hire process within Karbon. For full time employees we have 5 work items that drive the onboarding, training (general and team training), and collaboration with people ops and hiring managers.We have inserted much of what used to be manual into this process, with videos and full instructional tasks, protected what needed to be protected, and automated much of the repetitive training. This process has allowed the orientation team to foster the “welcome to the team” feel with meetings to get to know them, Q&A, meet the team and a coffee shop/lunch type of conversation instead of the stale chats of HR, software onboarding, etc.Interested in hearing what other Karbon users have done to incorporate their team onboarding as we are always looking to improve.

What is your client onboarding process?

We are looking at improving our client onboarding process - high level of the process below.Currently, we launch a couple of onboarding work items and have triggers within that process to create work for recurring services as we are ready to begin that part of the engagement.  The reason we do multiple work items is because multiple teams are involved and some of the work actually happens concurrently.What have you done within Karbon regarding your onboarding that has worked well for your team?

New to Karbon

How do I add my clients contacts to Karbon so I can see who they work with and be able to contact them. For example, the insurance agent, banker, CPA, etc. I want to pull up a client and see all related contacts for them. But I have several cleints who use the same people so I want the contact to be able to be on all records for each client.

Looking for a best practice for tracking WIP with flat rate billing with Karbon to TSheets to QBO

We are looking to switch form our current software to Karbon, but the time and billing is hard for me to grasp. Right now we have several flat rate billed clients. We book WIP to the flat rate invoice and keep an eye on our margins. I cannot seem to find a way to do this in the Karbon to TSheets to QBO integration pathway. Maybe I’m missing something?

Client Tasks

We just launched out our annual tax packets to 400+ 1040 clients through the Karbon Client Task feature in the work items.  Two things we are struggling with:Clients completing the task by clicking the check box from the email directly and NOT reading what they are supposed to do. Clients not receiving their original task email.Anyone else struggling with this?  Any suggestions?

Error when downloading all documents

Has anyone experienced an error when downloading all documents from a work item? I’m getting this error:My client uploaded a TON of documents and now it seems my only option is to download them one-by-one.

Question for everyone: How are virtual bookkeeping companies staffed?

Hi All!  I’ve received two great questions from @HOAFinancials that I thought I would share here for Community input. Does anyone have any resources or input on how staffing for virtual bookkeeping companies might be organized. Also, what percentage of virtual bookkeeping practices has anyone seen using 1099s vs W2 employees located in the US? We would love to hear your thoughts or review any resources you might have to share with us and@HOAFinancials

With reference to this article: https://help.karbonhq.com/en/articles/2487653-how-are-contacts-linked-with-the-practice-ignition-integrationWe had a case that was not handled as per the logic in the above article.We added a client on PI with name Jane Doe for contact and client and email john@doe.com (husband’s email). The hushband John Doe was already a client on Karbon. PI then added the work item to John Doe on Karbon instead of creating a contact Jane Doe and adding the work.According to flow diagram in article:Are client and contact name the same: YesIs there a person with same name (not email) in Karbon: NoThus a new person should have been created in Karbon.Please clarify? Is name in the article also referring to email? If so I think the article should mention that.

Staff Absences

How do others manage staff absences in Karbon ? Often these may be unexpected and with NO visibility over Triage of that staff member  - I find it hard to manage emails or re direct to other team members

Check out some answers to common questions you may have about client tasks, if you are unable to find your answer ask the community Why can’t my client access their client task list?  There is two reasons why your client wouldn’t be able to access their client tasks.  The work item has been completed They have expired, client tasks expire after 30 days of being sent. Re-opening the work item or resending the client tasks ill give them access again.     Can a Client task be sent to multiple people within the same organization? While you cannot send client tasks in one group to multiple people, each separate group (different client tasks section) can be sent to different people, with their own reminders and due dates. If you send each group to a different person, they will not be able to see each other’s client tasks.   I no longer want a client task to send, can I cancel it? To cancel the sending of a client task that is scheduled to send date future date, choose Cancel Sendin
