How to you encourage your team to keep on top of their Triage and To Do list?
Hi guys,It’d be great to hear your personal experiences. Especially when it comes to Monthly recurring work which includes a number of tasks to be completed, sometimes To Do lists can become quite chunky (although can be cleared very quickly and easily usually).
Team role in Karbon
In Karbon, for work(/job) level, there is only only work assignee who is supposed to be a job in-charge. However, in accounting firm, due to the compulsory requirement of professional code, each piece of professional work require an engagement manager as well as an engagement leader (normally the partner). There is nowhere to put these two role in. I know there is so called “client owner” and “client manager” under client contact card. However, these two to me are only for client level, rather than work level concept. Since 1) the client owner and client manager are more for relationship purpose, rather than the professional work role. 2) most important, in my firm, one client may have different type of work, for example, tax service and accounting service may have different work managers, one client manager does not cover both at all. How are you guys or KARBON expert suggest on this? Only get-around I found is to setup a colleague role called “work manager” and “work leader”, however
Is this report out there?
Looking for a report that can be sorted by colleague on amount of emails received and the response time for those emails. Trying to measure the response time for customer service (rec’d email then how long did it take for that colleague to respond to the email) ….using as a training tool.

Question for everyone: Interested in billing rates and/or fixed fees per service by geography?
In working to get Time & Budgets up and out of the door, we sent out a survey to understand what billing rates were by role and the related fixed fees charged per service provided. We have that information across different geographies and firm sizes. Thank you all for participating to provide some understanding so we could set some default rates and details within Karbon. Would it be of interest to post those results here? I would love to hear from the community how those averaged rates and fees differ to your own. There appears to be quite a lot of variation from the data. In addition, is this something you would like to see/learn more from us in terms of the underlying research that we do? Let us know!
Karbon API Update
Wondering what the status of the more full fledged API is? You all heard any news? Several months ago it sounded like this was something coming out really soon, but then nothing. The current Zapier integration is really too basic in triggers and actions to make use of more than it just being a contact database at this point.
Workaround for Semi-Monthly/Monthly Recurring Payroll Jobs
For semi-monthly and monthly payroll jobs that are due X number of days before the end of the month (depending on how they are processed, ie: Gusto, ADP) how are you working with Karbon’s limited settings to have accurate due dates so that Payrolls are not missed?Since the end of the month fluctuates (28/29/30/31) and the payrolls are due X number of days before the end of the month + avoiding weekends, there is not an accurate way to set up these types of Payroll jobs in Karbon so that the due dates are an accurate reflection of when the Payroll actually needs to be processed. This is causing us to occasionally miss payrolls, especially when our team has to fill in for other team members who are out and when they are not familiar with when the clients payroll needs to be run.What are your workarounds for recurring jobs that are due at/near the end of the month, but aren’t always due on the same day of the month? Technical Question on Budget to Actual Time Exporting
So I have a subcontractor that I’m compensating based on how well he does budget to actual and we’re trying to find an efficient way to track through Karbon.I’m trying to find a way to easily export the budget to actual time for 1 employee over a certain time frame across all jobs they worked on that are now completed. I think we’d have to set it just for jobs that closed during the period so we’re not double counting across periods. I’m not sure if just creating a custom work view could yield this, since he isn’t always the assignee at the end of a job, and it doesn’t break down budget to actual for that particular assignee. Is there an easier way to do this than just hand-downloading the budget to actual data on each work item he works on and aggregating in an excel workbook?
Timesheets for Payroll
We are using Karbon’s time entry 100% now for billing and for hours to pay our hourly people from.We run payroll on a bi-weekly schedule and I was wondering if there was a way to filter time by our pay-period instead of by week, in a format were we can total hours in the period?
Anyone else need a setting to filter out the clients you have marked inactive?
Does anyone else need a filter setting to remove inactive clients from your search view in Karbon? I would like the ability to turn this feature on and off. Most of the time I just want to see active clients, but occasionally I need to see an inactive client. If this is a feature you would also be interested in, please go to Help and Feedback - Have an idea that will make Karbon even better and request this feature. They really listen to your suggestions and try to add as many as possible.
Workflow & to-do date & status automation
Hi all!!! This is a two part questionI know that you can automate a workflow to set a due date and status, is there a way to automate the To-do date of a section/task in a workflow? To give you and example of what I want to achieve - there is a section in a monthly workflow that is assigned to a colleague - I only want this section to show in my colleagues To-do on the 29th of the month, and change the status of the tasks in this section to “in-progress” at the same time, using automators. I have a couple of monthly clients and their workflows start on the first of the month, but have approximately 10 - 15 tasks each - so you can imagine what my To-do list looks like on the 1st of every month. again - is there a way to automate the to-do date of a task in a workflow. If not - have you encountered the same issue, how have you negated it - apart from moving 300+ tasks to the desired To-do date on a monthly basis?
red dot on Triage
Is it possible to turn the red dot that shows on the upper right corner on the Triage button on or off?I find that I’d like to have that red dot hidden. As when I’m working in Karbon sometimes it distracts me to see that red dot there and I feel compelled to click into the Triage when in fact it would be best if I would just stick to the task in front of me.
Is anyone using QBO for Invoicing?
We are using the Karbon <> TSheets <> QBO sync to get our time from Karbon to QBO. Our goal is to book time against individual work items, but they come across as sub-clients in QBO, and when we go to generate an invoice, each sub-client (work item) comes through on the invoice with its own heading and subtotal and there is no way that I have found to shut it off.I’m wondering how others get time and materials invoicing done through QBO. We love the payments feature in QBO and have seen our AR go way down, but the invoices are so ugly that we have decided to just book time against clients instead of work items, which comes with it’s own set of issues (it’s much harder to track budgets etc.)Looking for any non-flat-rate billers out there who have come up with a simple way to get this done.
