Conditional tasks

I have set up a work template. There are tasks on the template that may or may not need to be completed for that work. If it does not need to be completed, is there a better way than just marking it complete regardless? If we skip it the job won’t complete when the last task is ticked off.

Portal Options

While I see that clients can choose to login to the portal and see all requests. I have several clients who want to see items in a folder structure.  For example, they login and they can click on 2021, see the tasks that were performed and also just files (without having to drill down on requests).  So, let's say I send the client a draft 1040 as a client task asking them to review.  My clients would like to see the tax returns by year when they are in the portal.  2019, 2020 etc. I know this is much more like a ShareFile structure, but i gotta give the people what they want:)

Short 'To-Do' items not connected with any work.

Hi all,This might be a really basic question, with a really obvious answer.. but here it goes.I’m wanting allocate basic to do items to team members, for internal admin tasks etc.e..g Call bank to change our address etcIs there a simple way to do this without creating dummy jobs or other work arounds?

Updating Tasks in Template - flow on to reoccuring jobs.

Hi All!When setting up templates & tasks with reoccurring jobs, if you update the tasks within the template does it update the reoccurring jobs? I thought I saw that if the tasks weren’t yet assigned within the job and you updated the template, the new tasks would flow through. Looking forward to hearing from the community.

Is there a way to bulk-assign new employee previously-created work?

I’ve just brought on a new tax preparer and have him set up in Karbon.  However, I have about 100+ clients that have already signed engagement letters via Ignition and have those work templates already created with me as the preparer.  Is there a way to quickly bulk assign a bunch of them to him?  (Updating the work template should fix it going forward, but looking to avoid manually assigning each client to him)

Productivity Tracking

Hey All, I am hoping to gain insight into tracking team member productivity. Within Work insights, it is very work item oriented. We are very task focused and our work items pass from person to person based on the amount of steps necessary (tax prep, bookkeeping, advisory, etc) so it is not the best place to look to see how much a team member is or is not producing.We would like to see something that can show the amount of tasks completed over a period of time, how many of those were completed on time, and how many of them were re-assigned and completed by someone else. We would like to be able to sort by team member, by client, and by work type.We do not use time entries whatsoever because we found that it often became a time suck itself to make sure people were completing time sheets as well as them not being entirely accurate.Has anyone been successful inside of Karbon or using something else as a compliment to Karbon to track productivity through tasks?Thanks for any input. -Jarett

Client task triggering the Work item to go from Planning to In Progres

We use automators to set due dates on tasks to be a certain number of days after the work item gets triggered as Ready to Start once the start date occurs. If we add a client task prior to the work start date, the work item changes to in progress and therefore our automators don’t kick off for the due date tasks.Is there any work-around? We like sending some client tasks ahead of time to prepare for month-end, and it’s best to keep them in the same work item they relate to.

If a client changes email addresses - do you delete the email or leave it there for historical purposes?

If a client has an email address (A) and then changes to a new email address (B) and asks you to use that one going forward - what do you do in Karbon?I like to encourage the saving of all email addresses that we correspond with (i.e. real people, not necessarily email addresses from auto-generated emails).We can delete the email address A, which reduces the risk of it being used in the future, when it shouldn’t. But then it’ll look like it’s an email address we haven’t saved (and we have no way of knowing why, so may save it again in future).If I keep the email address, how can I show it shouldn’t be used?

Client tasks - Quick access link

Hi everyone, I use client tasks to request information, however I am not sure if the client received the list OK (or whether it may have landed in their Junk mail). Is there a way for me, instead of setting up recurring reminders via Karbon, to get in touch with the client personally via e-mail and ask them if they did receive the tasks list, and if not - to add a link to it?Many thanks,Antoniya

Privacy setting for Person Contact to reflect Organisation Privacy setting

I’m not sure if something might already exist or if this would need to be a feature request.Wanted to know if there was a way to set the Privacy of a Person Contact to show visability of communication connected to their contact card to only those who are also part of the client team for the organisation. Eg. “John” has sent an email to us (CBC) this email is automatically connected to “John” as a personal contact, then connected to any relevant work & Organisation “Company A” that applies.“John” has a Public privacy setting, but “Company A” is Private. The email can still be seen by everyone at CBC (total 10 people) from the timeline for “John” but we want to limit the privacy to that of the Organisation for this email now that it has been connected to “Company A” (client team of 4).We have a few person contacts, that are connected to multiple Organisations. And these Organisations have different client teams, we would like to limit visibility by Organisation and still have the opt

Annual repeating jobs showing already despite create work date no until Feb 2023

Hi allProbably user error but, as we work through our 2022 annual accounts jobs I am setting them up as a recurring annual job, all repeating in May 2022, and the Create Work date is 3 months before it starts. The reasoning being 1st February next year we can spend some time planning for when to schedule these jobs in and then move the due dates as appropriate. The problem is. as we have finished the 2022 jobs, I have a heap that have already gone and created themsevles. I can go into those jobs, look at the repeat, it def says starts 1 May, create work 3 months before it starts, create tasks 1 day before it starts, yet there are all these 2023 jobs on our annuals list. So frustrating. I know I could set the filter to try and exclude jobs starting after 1st February 2023 but my question is why are the jobs creating now and ignoring the instructions?

Filter My Week to a Daily or smaller multi day view

I am getting overwhelmed at the beginning of the week with Work and Emails that aren’t due until later in the week and they are creating noise that I have to filter through.  Is there a filter coming to help with the noise in  My Week?

Client Task e-mail - Modify default template & remove checklist

Hi all,We’d love to use the client tasks functionality within our firm, but have found with our first few tests clients are just replying to the email and answering the checklist items/attaching documents rather than clicking through to the portal. My questions are: Is it possible to force a login? - Our clients typically have multiple entities, forcing a login will ensure they see all open requests attached to their email at one time. Is it possible to modify the firm-wide template for client tasks to remove the preview of the checklist, this will force the client to click the link/login to see the open tasks. Is there a hack which can ‘send’ the client queries to the portal but not send an email at all to the client, we can then send a manual email directing them to login and answer the queries?

Malicious email

Hi TeamI’m new to Karbon, so please advise if this has already been raised.We’re receiving a lot of spam email with malicious links. I don’t want to simply clear the email and have it sitting around for someone to inadvertently click on the link at a later date. Our current practice is to log into Outlook and permanently delete the email, then return to Karbon. It’s not an ideal workflow, and I’d love someone to explain a better way.

AML Tool Integration - what AML system do you currently use? (UK)

I’d love to have our AML checks and client risk assessments showing in Karbon - perhaps on the client’s contact details section? This may involve integration with Companies House - adding all client data automatically by entering the business registration number, like name, address, Annual Accounts periods, Confirmation Statement due date, Directors and Shareholders. Based on this and any changes on Companies House, we can generate and set up our Annual Accounts work in Karbon (for automation) and run AML client ID verifications. We recently started using a platform called Yoti for this and it’s fantastic and very user friendly (also from the client’s perspective).

Function of task type that can be set on created tasks

There is an option to add a task type to the tasks that was created under a work item. How exactly can that be currently utilized within Karbon? We tested to see if you add a task type to the task if it auto populates the suggested time entry the same as with client and work but it does not.

Why does the client task space display our internal Karbon work title?

We are finally beginning the process of integrating client tasks into some of our work.  When we run tests, I can see that the client will have view of our internal work labeling when they go to check off their tasks.  Our work labeling is not short nor sweet and I’d rather not field client questions asking what the work title means since we use shorthand to distinguish between work/department/timing, etc.  I’d also love to not have to change our existing Karbon work labeling structure just to add client tasks to our toolbox.  Has anyone found any workarounds? Cheers,Emily

Auto-generated suggestions when adding an email to a client timeline

Can Karbon update the suggestions given when my team is adding a client email to that client’s timeline?  It gives suggestions based on clients/contacts/works that were recently used, which is sort of helpful.  Could it also auto-generate a suggestion based on the contact?If the contact is Dr Jones, and is set in Karbon as a contact… Could it suggest our client/organization called Jones Family Dentistry?If there’s a faster way -OR- this already exists as a process in Karbon, I’ll send a $10 GC to the person that points it out to me :-) .  Thanks!

Bookkeeping Pricing

Hi Everyone. A quick question regarding bookkeeping pricing. We are finding our current method inefficient, in terms of 1, actually calculating what the fee should be, and 2, trying to ensure the price is a true reflection of the work undertaken. We use GoProposal, and our fees are set up using the following line items:Invoice processing fee - Fee based on no. of invoices processed.Bank rec fee - A fee for reconciling the bank rec each month.VAT return fee - A fee for producing and submitting the return. Could anyone share how they price these services and any tips you have found when pricing bookkeeping?Thanks in advance.

Does the Time and Budget feature only work if you are connected to QuickBooks Time?

In reading some of the Time and Budget posts, it seems that some firms are using the Time and Budget feature and they are not connected to QuickBooks Time.  I don’t know that for a fact but that is the impression I get.  Is that possible?I initially started the setup for the integration but never completed it.  When I go to disconnect the sync I get a message that I will no longer be able to track time in Karbon.  My thinking was to get more comfortable with the Time and Budget features before turning on the integration.I would appreciate any clarification on this.  Thanks all!

Team recruiting and onboarding

We have developed a full cycle new hire process within Karbon. For full time employees we have 5 work items that drive the onboarding, training (general and team training), and collaboration with people ops and hiring managers.We have inserted much of what used to be manual into this process, with videos and full instructional tasks, protected what needed to be protected, and automated much of the repetitive training. This process has allowed the orientation team to foster the “welcome to the team” feel with meetings to get to know them, Q&A, meet the team and a coffee shop/lunch type of conversation instead of the stale chats of HR, software onboarding, etc.Interested in hearing what other Karbon users have done to incorporate their team onboarding as we are always looking to improve.

Automation of Sending Client Tasks

I have not been able to find a way to successfully do this yet - any tips and tricks are appreciated! I would like to send our checklist one task section at a time so as not to overwhelm clients. Has anyone encountered how to automate sending the next section to the client once the preceding section is complete? Thank you!

Is this report out there?

Looking for a report that can be sorted by colleague on amount of emails received and the response time for those emails. Trying to measure the response time for customer service (rec’d email then how long did it take for that colleague to respond to the email) ….using as a training tool.
